Are you looking to join a dynamic team? We are seeking a skilled Administrative Assistant to join our Head Office in Dunfermline. This is a full-time position (37.5 hours per week), working 5 out of 7 days during office hours.

The Role
You will play a key part in supporting the recruitment and vetting processes for security and hospitality staff, while assisting with general administrative duties across the business.
Working within a collaborative and fast-paced environment, this role offers the opportunity to gain valuable experience in the security and hospitality sectors, while developing your skills in administration, communication, and relationship management. You will work closely with colleagues across multiple departments within DIMA Group.

Key Responsibilities
Support candidate vetting in line with the BS7858:2019 security standard
Carry out ID verification and right-to-work checks to ensure compliance before onboarding
Organise and maintain staff and client documentation within Google Drive
Track vetting progress, SIA badge status, and residency permit expiry dates
Manage the recruitment inbox, review CVs, and contact applicants promptly
Create and post job adverts across multiple recruitment platforms
Conduct telephone screenings and attend in-person interviews with hiring managers
Liaise with all departments and Head Office regarding staffing and compliance updates
Maintain accurate and tidy digital and physical records, ensuring proper filing and archiving
Take minutes during meetings and ensure they are saved and shared efficiently
Stay informed on industry news and regulation changes affecting vetting, visas, and licensing
What We're Looking For
Previous experience in an administrative or recruitment support role (preferred)
Excellent organisational and time management skills
Strong attention to detail and accuracy
Confident communicator with good written and verbal skills
Ability to manage multiple tasks in a fast-paced environment
