Are you a highly organised and detail-oriented individual looking to contribute to a charity that transforms lives? Aldingbourne Trust is seeking an enthusiastic Administrative Assistant to support our Catering and Events and Central Office teams. This is a varied and rewarding role where your skills will help us deliver exceptional services to adults with learning disabilities and/or autism.


Key Responsibilities


Catering and Events Support


Manage bookings for conference rooms, corporate events, parties, and social gatherings (up to 100 guests).
Be the first point of contact for enquiries regarding availability, pricing, and booking details.
Coordinate with internal teams to ensure smooth event delivery.
Liaise with Finance to ensure accurate and timely invoicing.
Maintain booking records and calendars in line with data protection policies.
Deliver outstanding customer service to internal and external clients.


Central Office Support


Handle phone calls, door entry intercom, and shared inboxes.
Greet visitors and respond to initial enquiries.
Assist with general admin tasks including correspondence, filing, data entry, and minute-taking.
Manage office supplies and conduct stock checks.
Organise meetings, including scheduling, agendas, and follow-ups.
Maintain accurate databases and support project coordination.
Person Specification


Skills & Experience


Proven administrative experience.
Strong organisational and time management skills.
Excellent written and verbal communication.
High attention to detail and accuracy.
Proficient in Microsoft Office and Microsoft Teams.
Comfortable using AI tools and project management software.
Positive, proactive, and customer-focused attitude.
Ability to collaborate across multiple teams.
Experience in office management and operational coordination.
Ability to monitor performance against KPIs and deliver measurable results.

Pension: The Aldingbourne Trust offers a contributory pension scheme to qualifying staff.


Annual leave: 25 days in each year, pro rata for part time staff. 1 extra day per annum after 5 years of service, up to a maximum of 5 extra days after 10 years.


Sick leave: After the first month's service, 2 weeks at full pay in a rolling 12-month period (pro rata if Part Time)
