To provide high quality administrative support and to facilitate the day to day needs of a busy school office. The administrator will work to ensure the smooth running of the office including general office functions, managing diaries, calendars and answering calls and emails.
a) Office & General Administration
Manage correspondence from the schools email accounts, responding promptly to enquiries from parents.
Produce correspondence for the Senior Management Team and Staff as required, including booklets and programmes.
Provide a photocopying service to members of the Senior Management Team and staff as necessary, ensuring that daily requirements are met correctly and in a timely manner.
Provide cover for and assistance to other members of the school office team as required.
Receive incoming post and action or distribute accordingly.
Assist with distribution of parcels from sales of school merchandise.
Prepare and frank outgoing post and parcels as required.
Accurate database management though the school's management information system.
Any other appropriate duties which, from time to time, may be required
b) Reception
First point of contact welcoming visitors to school, liaising with children, parents, staff and outside agencies.
Dealing with day to day enquiries from parents, pupils, staff and visitors.
Answering telephone and email enquiries and redirecting calls and messages effectively.
Ensure the main reception area and office is tidy and presentable at all times.
Assist with management of the room bookings system and ensure procedures are followed regarding the booking of additional services/hiring of facilities.
c) Stationery Stocks
Issue stationery stocks and place orders in accordance with procedures.
Maintain stationery stocks within set minimum and maximum levels.
d) Registration
Undertake responsibility for the daily registration of children within the management information system.
Manage the signing in and out of students throughout the school day.
e) Health and Safety & First Aid
To deal with minor injuries to pupils within the limits appropriate to the holder of a one-day first aid certificate.
Ensure the recording of accidents in accordance with the school's policy and the holding of the relevant records.
Help maintain a safe working environment, maintain safe working practices at all times and advise the Facilities Manager/Chief Operating Officer of any matters which may affect safety at work.
