to support the Senior Leadership and wider Estates and Campus Services team. The successful candidate will play a key role in ensuring the smooth day-to-day running of administrative operations, providing high-quality support to both internal and external stakeholders.
This position offers the opportunity to contribute to the effective delivery of estate management, facilities, and campus services while upholding excellent customer service and administrative standards.
Key Responsibilities
Provide administrative and technical support to the Estates team, including preparing agendas, taking minutes, and maintaining accurate records.
Assist with processing purchase orders, invoices, contractor documentation, and supplier coordination.
Respond promptly and professionally to phone, email, and reception enquiries related to Estates, Helpdesk, and Car Parking services.
Support project work, reactive maintenance, and planned preventative maintenance requests by liaising with the Maintenance Team and contractors.
Coordinate visitor parking reservations, internal and external event parking, and maintain the monthly events master list.
Process car parking permit requests using relevant software, maintaining databases and ensuring accurate salary deductions.
Ensure all data is managed in compliance with GDPR and Freedom of Information regulations.
Support initiatives that enhance the student and staff experience through efficient estates administration.
Undertake other duties appropriate to the role and grade as required.
Ideal Candidate Profile
Essential Skills & Experience
Experience providing administrative support within a large, multidisciplinary team.
Confident in using Microsoft Office applications, databases, and electronic filing systems.
Experience in environments with high levels of customer contact.
Strong communication and organisational skills with the ability to prioritise tasks effectively.
Ability to work independently and as part of a team, exercising sound judgement.
Minimum of GCSEs (Grade C/4 or above) in English Language and Maths, or equivalent.
Commitment to teamwork, inclusivity, and supporting organisational values.
Desirable
Experience in finance administration, purchase ledger processing, or data management.
Knowledge of estates, facilities, or property services environments.
Experience within higher education or a complex multi-site organisation.
