The Role



We're looking for a highly organised Administrative Assistant to support our Grounds Maintenance Manager and wider operations team.
You'll help keep our administrative and HR processes running smoothly -- ensuring accurate records, clear communication, and professional coordination between our office and field teams.

This is a varied role, ideal for someone with strong organisational skills and an interest in developing HR and operational administration experience.

Key Responsibilities



Provide day-to-day admin support to the Grounds Maintenance Manager and field teams. Prepare and manage job sheets, schedules, and operational records. Assist with HR administration -- onboarding, training records, timesheets, and recruitment support. Maintain accurate digital and paper filing systems in line with company standards. Support vehicle and equipment tracking, service bookings, and compliance records. Liaise with staff, clients, and suppliers to ensure clear, professional communication. Help with reports, correspondence, and occasional social media updates. Contribute to team success by offering flexible office support and provide cover for admin colleagues as needed. All roles are subject to performance indicators and regular appraisal as a performance led business creating growth and outstanding customer experience.

About You



Previous administrative experience (ideally in grounds maintenance, construction, or service industries). Supporting business administration qualifications are desirable (or equivalent experience) Basic HR knowledge or willingness to develop. Excellent organisation and attention to detail. Confident communicator with good written and verbal skills. Proficient in Microsoft Office 365, digital systems with knowledge and willingness to embrace AI integration. Reliable, adaptable, and discreet when handling sensitive information.
