Key Responsibilities:Telephone Management: Answer incoming calls, take and forward messages accurately, ensuring a professional and pleasant telephone manner.
Outgoing Calls: Make outgoing calls as required, to clients, suppliers, and other relevant parties.Liaise with Managers: Support managers by providing administrative assistance, including scheduling meetings, coordinating activities, and ensuring smooth communication.
Email Management: Create, respond to, and manage emails in a timely and professional manner.
Microsoft Office: Competent use of Microsoft Office applications (Word, Excel, Outlook, etc.) to support day-to-day administrative tasks.Stock Management: Order stationery and other office supplies, ensuring that the office is fully stocked.
Client Database: Monitor, update, and maintain the client database to ensure accuracy and up-to-date information.Document Management: Organize, file, and maintain documents and records in line with company policies and legal requirements.
Ad Hoc Duties: Provide general support for various tasks and projects, as required by the team or management.Required Skills & Attributes:Efficiency & Organisation: Must be efficient, organised, and able to manage multiple tasks simultaneously.Communication: A pleasant and confident telephone manner, with excellent written and verbal communication skills.
Deadline Driven: Ability to work under pressure and meet deadlines in a fast-paced environment.Multi-tasking: Must be able to juggle multiple tasks effectively and prioritise workloads.
Team Player: Must work well within a team, but also be able to work independently with minimal supervision.
Positive Attitude: A 'can-do' attitude and a willingness to tackle any challenge, big or small.IT Proficiency: Strong competency in using Microsoft Office applications; experience with office management software is a plus.
Qualifications & Experience:
Previous experience in an administrative role is preferred but not required.A passion for providing excellent customer service and supporting others.
High school diploma or equivalent required; further qualifications in administration or office management would be an advantage.
