Acting as a point of contact for customers, on site members of staff, clients or suppliers via email, over the phone or in person
Booking meetings for colleagues and arranging meeting schedules with suppliers.
Organising filing systems and updating CRM databases
Assisting colleagues with arranging supplies, such as stationery, printer refills or general cleaning materials
General correspondence with development managers and directors
Insurance renewals - with input from Area Managers
Liaising with Directors of developments with queries
Arranging contractors with the assistance of colleagues
General telephone answering where required.
Responding to tenant enquiries, addressing concerns and taking complaints whilst fostering positive relationships with residents.
Assisting with service charge collection (where required), assisting with budgets and maintaining financial records.
Handling paperwork, preparing reports, managing correspondence, and organizing contractors.
Assisting with new Leaseholder documentation, and Leaseholder terminations within the CRM.
A good telephone manner is required to field incoming calls and then pass on to the correct person or if not available taking messages so that return calls can be made
This role is part of our Retirement Property portfolio, we manage 15 blocks of flats within this portfolio and we are responsible for the upkeep and repairs within the communal areas of the buildings and also the grounds - the role will mostly be telephone/ computer based to ensure all details are accurate and up to date which is vital in emergencies both with the building and also residents wellbeing
Over time you will become more independent and it will greatly assist the small team that you are able to work within the group, choosing the correct contractor to resolve issues but also being able to filter jobs that are not our responsibility
