This is an exciting role as an Administrative Assistant / Paralegal in our Oxford office that would be ideal for someone looking to build upon their skills and knowledge.

The role





This role is a split AA/paralegal role and in addition to the AA activities you will also be required to carry out the chargeable paralegal tasks detailed at the end of this job description as required.



This is an office based operational role that will provide support to your team with all administrative tasks required to meet client needs. Working closely with the team's lawyers and Executive Assistants, you will be responsible for completing a variety of administrative and paralegal tasks within agreed timescales and with accuracy and attention to detail. You will be expected to learn new tasks, IT packages and build up your skills and knowledge. The intention is that you will work towards being promoted into a Senior Administrative Assistant / Paralegal position and, should you want to do so, the firm will look to provide you with the skills to support your career development.


The person





This is an entry level position, we are open as to your background and previous experience, although this is likely to include some involvement in customer service and/or office-based work.

The activities





You will be providing essential support to our lawyers and Executive Assistants. You'll handle administrative tasks and chargeable paralegal duties with accuracy and attention to detail.


Communications and Administrative Tasks:



+ Manage incoming and outgoing post items.
+ File documents and manage emails, including electronic filing.
+ Handle storage and retrieval of deeds, Wills, and other original documents.
+ Complete courier forms and arrange deliveries.
+ Manage Special Deliveries and proof of posting.
+ Organize information in data rooms and Sharefiles.

File Management:



+ Add and amend data on the client database.
+ Assist with financial housekeeping and file management.
+ Perform tasks like logging activities, running reports, and managing mailing lists.
+ Assist with matter risk assessments, conflict checks, and file audits.
+ Open and close files, schedule deeds and documents, and assist with online finance forms.

Paralegal Chargeable Tasks:



+ Draft documents from scratch, such as schedules of assets and court forms.
+ Prepare papers for instructions to Counsel.
+ Create bundles by identifying and organizing relevant documents.
+ Attend hearings, meetings, and conferences, taking detailed notes.
+ Make telephone calls to liaise with courts, clients, and experts.
