Job Details
Salary:
The job is paid on West Sussex Grade 4 - Points 5-6 (24790 to 25183 pro rata) dependent on experience. A national pay award is pending.
Working Pattern:
Part-time for 29 hours per week during term time only (43.8 weeks per year rising to 44.2 after five year's service).
The 29 hours is equivalent to 7 hours a day for four days a week, working, ideally Tuesday to Friday, 8.15am - 3.45pm.
There is possible negotiation with the hours and days if required.
In addition, as part of the clerk's role you will be required to attend Governing Body Meetings in the evening (usually between 6 and 10 meetings per annum) and undertake administrative tasks for the Governing Body. These will be paid as additional hours and amount to approximately 5 hours per half term.
The administrative assistant works in conjunction with another administrative team member who currently works for three days (Monday, Tuesday, Wednesday) each week, so there will some handover/liaison time.
About the Job
The Administrative Assistant is line managed by and works in partnership with the School Business Manager to complete a range of administrative and finance tasks. This role may well suit someone who is looking for career progression as a School Business Professional.
The Administrative Assistant acts as the first point of contact for children, parents and many other visitors to the school, acting with due regard to fire safety and safeguarding procedures. They will assist in the day to day welfare provision for our pupils, including administration of first aid/medication, monitor attendance and provide support for those children who may require additional nurture.
Excellent organisational skills are essential, along with great flexibility and ability to cope with multi-tasking as there will be frequent interruptions. Confidentiality is paramount. As part of the wider office team, the successful candidate will need to be a team player who is reliable, robust and resilient, willing to turn their hand to any unexpected task that is likely to arise in a busy school environment with young children.
The Administrative Assistant has a dedicated workspace, situated in the main entrance area, adjacent to the School Business Manager's and Headteacher's offices.
The clerk to the governing body will be accountable to the governing body, working effectively with the chair of governors. The clerk will be responsible for advising the governing body on constitutional matters, duties and powers and will work within the broad current legislative framework. He/she will secure the continuity of governing body business and observe confidentiality requirements. Full training is available for this role.
What You Need to Succeed
The successful candidate will be a compassionate, enthusiastic, organised and well-motivated team member who can demonstrate commitment and the ability to use initiative.
They will be competent in computer use (sending emails, writing letters, Excel etc) and have excellent skills in mathematics and literacy. Relevant experience working in an office environment and/or working with children is essential.
