We are seeking a detail-oriented and proactive Administrative Coordinator to join our team at headquarters. This role is essential for ensuring the smooth operation of our office and site personnel and supporting various administrative functions. The ideal candidate will possess strong organisational skills, excellent phone etiquette, and a solid background in office administration.
Responsibilities
Manage day-to-day office operations, ensuring a well-organised and efficient work environment.
Manage the company's leases, handle communication with landlords and utilities suppliers.
Perform data entry tasks accurately and promptly, maintaining up-to-date records.
Keep track of and support with the calibration of tools and instruments, by scheduling on time dispatch to third parties.
Maintain the warehouse stocks of materials, PPE etc.
Handle incoming calls with professionalism, demonstrating excellent phone etiquette.
Support the team with clerical duties such as filing and document preparation.
Support clerical tasks such as typing, photocopying, and scanning documents.
Schedule meetings, manage calendars, and collaborate on documents.
Coordinate office supplies inventory and request orders as necessary to ensure availability.
Provide administrative support for various projects as required by management.
Experience
Proven experience in an administrative role or similar position is preferred.
Proficient computer skills, including a strong command of Microsoft Office Suite (Word, Excel, PowerPoint)
Strong organisational skills with the ability to manage multiple tasks simultaneously.
Excellent clerical skills with attention to detail in data entry and documentation.
Demonstrated ability to communicate clearly and professionally both verbally and in writing.
A proactive approach to problem-solving with strong interpersonal skills.
