Purpose of the Role:



We are seeking a proactive and detail-oriented Administrative Coordinator to support our finance and operations teams. This role is pivotal in ensuring the smooth execution of financial processes, maintaining accurate records, and facilitating effective communication across departments and with external partners. This position requires a proactive individual with basic technical abilities, and a keen eye for detail in all financial and operational tasks.

Key Responsibilities but not limited to:



Finance:



Provide administrative support to the Finance Manager by assisting with accounts queries within the Finance board and the accounts@ inbox. Including accounts payable and accounts receivable invoices, statements and enquiries. Assist with processing invoices by receiving, verifying, and inputting invoices, and matching them with purchase orders. Prepare, format, and distribute regular and ad hoc reports as required by the Finance Manager. Coordinate reporting schedules to align with month-end and project timelines. Assist with the monthly reconciliations of supplier statements, ensuring all transactions are accurately recorded. Investigate and resolve any discrepancies in a timely and professional manner. Act as the first point of contact for internal and external queries related to invoices and payments. Liaise with suppliers, customers, and internal departments to resolve issues efficiently. Monitor outstanding customer payments using reports provided by the Finance Manager. Initiate follow-up communications to ensure timely collection and maintain positive client relationships. Accurately post supplier-related bank transactions into the accounting system, ensuring all entries are coded correctly and supported by appropriate documentation. Provide administrative and operational support to the Finance Manager during month-end close. This includes preparing reconciliations, compiling documentation, and assisting with journal entries as needed.

Office Admin:



Provide day-to-day administrative assistance to the Finance, Sales and Operations teams, including document preparation, data entry, and filing. Manage incoming calls, emails, and post, ensuring timely and professional responses and appropriate escalation where necessary. Order and maintain stock levels of office supplies, ensuring availability of essential items and cost-effective purchasing. Assist the Business Operations Manager in ensuring all business functions are as streamlined and efficient as possible by having up to date Standard Operating Procedures. Oversee the company's intranet managing communication of business updates and events. Organise the distribution of uniforms to employees, ensuring everyone receives the correct items and sizes. Be available to take minutes during management meetings and ensure that action points are distributed promptly and appropriately to relevant stakeholders

Outstanding organisational skills, with the ability to manage multiple tasks and prioritise effectively in a fast-paced environment. Strong ability to follow instructions and guidance from department heads and Directors, ensuring tasks are completed accurately and efficiently. Excellent communication skills, both written and verbal, with a confident and professional approach when dealing with internal teams and external customers. Exceptional customer service mindset, demonstrating patience, empathy, and a proactive attitude in resolving queries or issues. Self-motivated and capable of working independently, while also being a reliable and collaborative team player. Proactive in identifying opportunities for improvement within back-office operations, contributing to the development of more streamlined and effective workflow processes. Ability to meet deadlines consistently, even when managing competing priorities or working under pressure. Excellent time management and planning skills, with a keen eye for detail and a commitment to delivering high-quality work. Previous experience in an administrative or finance-related role is essential.
