Job Description

Job Purpose



Provide effective administrative support for the daily operation. Operate and maintain software systems to produce reports, data entry and management of data. Cover reception duties to ensure a welcoming and professional environment. Assist the Development Manager with day-to-day tasks.

Main Tasks and Responsibilities Administration and Reception Duties



Serve as the first point of contact for visitors, families, and young people, ensuring excellent customer service. Answer and direct phone calls, emails, and enquiries promptly and accurately. Maintain IT systems, databases, and filing systems, ensuring accuracy and confidentiality. Produce reports, correspondence, and other documentation as needed. Assist in the maintenance of the office software and ICT systems.

Health and Safety and Office Maintenance



Monitor and maintain a safe environment, including litter-picking around the entrance to remove harmful debris. Ensure the reception and office areas are clean, tidy, and welcoming. Observe and promote Health & Safety at Work practices.

Programme and Event Support



Assist in planning, organising, and supporting youth programmes and events, including managing registrations. Ensure compliance with Safeguarding and Data Protection policies. Collaborate with the team to deliver efficient service processes and procedures.

Financial and Data Management



Input data into administrative and financial systems, including handling petty cash and invoices. Support financial processes using organisational software such as QuickBooks (desirable). Take payments from parents/carers/agencies and ensure financial accuracy.

Team and Organisational Support



Participate in team meetings, training sessions, and supervision to ensure professional development. Provide support and cover for sickness, holidays, and periods of increased workload. Work flexibly and occasionally assist with evening or weekend events.

Person Specification Knowledge/Skills/Abilities



Essential:



Excellent IT skills, including the ability to use administrative and financial software. Strong communication and interpersonal skills. Effective organisational skills and the ability to prioritise tasks. Experience with maintaining filing systems and administrative processes. Ability to work both independently and as part of a team. Commitment to creating a safe, nurturing environment for children and young people.

Desirable:



Experience working in a youth charity or similar environment. Knowledge of Salesforce software or QuickBooks.

Qualifications/Experience



Essential:



ICT experience Proven experience in administrative and clerical duties. Experience in word processing and managing CRM databases.

Desirable:



Experience of working in a youth-focused organisation.
