Job Summary:
Berkshire Community Dental Service is looking for a Dental Administrative Assistant to process dental referrals which are received electronically and in the post. The successful applicant will be methodical with a keen eye for detail. The post hold will liaise directly with dental staff, patients or their representative, book and change appointments and so should have excellent verbal and written communication skills. They should also have excellent IT skills, as this will be an integral part of their role. The post holder will also provide other administrative support as necessary to the Community Dental Service.
We are looking for someone with experience of administration, ideally within the NHS. You will need to liaise with the dental clinics and clinicians, patients of all ages or their representative, and other departments within BHFT. The applicant must be flexible and a good team player.
The service provides dental care to people who are unable to access dentistry in general dental practice due to disability or requirement for specialist care. As the service is provided over many sites, the ability to travel to other Trust sites is essential.
You'll learn the following whilst working at the trust:

2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times
3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation.
Key Duties and Responsibilities
1. Responsibility for the processing of all referrals to the CDS including assessment of the referral, inputting of data, obtaining additional information, compiling new patient records onto the clinical records system and forwarding to the relevant Community Dental Clinics in a timely fashion.
2. To be responsible for the processing of enquiries, letters and reports.
3. To record, collate and present service activity reports, audits and surveys as required.
4. To deal appropriately with the ingoing and outgoing post on a daily basis ensuring that all letters are recorded, processed and/or redirected quickly and efficiently.
5. To respond to mail, telephone calls and emails to the CDS HQ in box ensuring accurate recording and transmission of messages, taking suitable action to ensure that enquiries are directed to the appropriate members of staff and undertaking delegated action as necessary.
6. To deal with all enquires by telephone in a calm, sympathetic/empathic way, assist patients in an understanding manner especially where there are barriers to understanding e.g. language, poor hearing or if the caller is distressed or aggressive.
7. To take responsibility for cascading information throughout the service as required.
8. Undertake general office duties such as filing, ordering of stationery, equipment, printing and other items, photocopying, shredding.
9. Report any faults with medical, IT, Estate and Facilities equipment to relevant parties and monitor until any issues are resolved.
10. To receive and organise storage of patient records that are no longer currently in use.
11. To assist in the organisation of the CDS including scheduling of meetings, taking and distributing meeting minutes, administrative organisation of Study Days and training programmes.
12. Undertake any ad-hoc duties as required by the Operations Manager and Service Manager
You'll have the following skills/experience:
Experience in the use of Sensei dental software
Experience in the use of Microsoft windows packages
Use of a computer database
Experience of working with the general public
Previous Health Service / Customer Service Background
