to ensure smooth operations within our Facilities Maintenance team and to maintain our behind-the-scenes signature excellence.
Reporting to the Director of Facilities this role supports the FM leadership team oversee the overall repair and maintenance of the club buildings, assets, and infrastructure. Working within the luxurious surroundings of our beautifully restored Taymouth Castle Estate and at the breathtaking Glenlyon Estate as well as the Moness Resort and Kenmore Village. As we grow and the project evolves this role may expand in the future and could offer the right individual a fantastic opportunity.

Serving as the operational backbone of the club, supporting executive management, coordinating with departments, and managing administrative tasks with discretion and professionalism. This is a key position for someone who thrives in high-end environments and understands the nuances of luxury service.
You will be the Facilities Director's right hand. Organising, prioritising, and coordinating critical aspects of our club operations. This is a high-trust, high-impact role suited to a polished professional who thrives in luxury environments and understands the standards of executive-level support.
Organising and managing meeting schedules for both the Facilities Director and the wider leadership team within the department. Acting as a liaison between the team and external suppliers, contractors, and partners.
Assist, create and manage a working inventory of general building operation consumables and stock management, spares, and asset management. Supporting during internal audits and external 'Shield Safety' audits. Participate in verifying Safe Systems of Work (RAMS / Permits to work) provided by contractors, conducting qualifying checks on qualifications and training.
The annual document review process which includes SOP's, Risk Assessments, COSHH Assessments and data sheets. Maintaining the document change process, office supplies and supporting with the administration process of warranty claims. Maintain accurate records, confidential files, and club documentation, including trackers and data sheets to ensure HS compliance; support and manage maintenance activities. Collecting and processing weekly data by running reports and summarising analytics.
Assist with effective communication across the department, preparing briefs and safety notifications and updates from newsletters and head of department meetings, recording the information, updating the team at the daily brief.
Managing of invoicing, PO's and orders ensuring all the information is recorded for budget control. Assist with sourcing specific material items ensuring they are in line with the company purchasing procedures.
Managing the annual departmental induction refresher programme and maintaining records of site inductions for new team members and contractors. Assisting with the delivery of site inductions for staff, visitors, and contractors, as necessary. Coordinating staff training to maintain skill certificates / licenses, booking team members on courses and conferences. Arranging any travel and accommodation and processing the paperwork and payments.
Updating the departments schedules on Workday to ensure data is collected in real time - scheduling / absence tracking / approving time. Submitting weekly the team's meal orders according to work schedules and shift patterns.

You will be the Director's right hand--organizing, prioritizing, and coordinating critical aspects of club operations. You will have experience of working in a large team or department type environment with discretion in handling and managing sensitive client or staff documentation and understands the standards of executive-level support within a high-trust and high-impact environment.
A true people person with excellent, proven oral and written communication skills, a natural ability to build rapport with colleagues at various levels within various departments and across multiple managers. Enthusiastic about engineering and facilities maintenance; a genuine interest with this environment.
Excellent organisation skills, with the ability to work to strict deadlines or pre-defined timescales. Proficient in minuting meetings, managing, and organising intranet folders and hard copy documentation and report writing. Microsoft packages including Word and Excel, Outlook.
The typical working hours are Monday to Friday - 40 hours, 8am - 4.30pm (half hour unpaid break).
