We have an exciting opportunity available within our Galashiels office for a highly motivated and enthusiastic Property Administrator.
The role of Property Administrator will be primarily to provide administrative support to the lettings department with potential to progress for the right candidate. Other aspects of the role will include reception duties, the first point of contact for enquiries, pro-actively processing applications, in an efficient courteous and informative manner matching properties and full administrative support to our Property Team within a busy firm of Chartered Surveyors and Estate Agents.
Approximately 20 hours per week. Full-time applications considered.
The principal duties of the role will include, but are not limited to:
Delivering exceptional Customer Service - meeting and greeting customers and clients; answering and processing telephone calls in a professional and efficient manner. Dealing with enquiries in a courteous and informative manner with strong knowledge of the property market and current availability, arranging viewings, following up and providing client feedback. Liaising with clients and prospective purchasers/ tenants. Processing and negotiating offers.
Marketing - uploading well-presented property listings on the website portals and social media channels, matching requirements on the property management software, local canvassing, and building strong relationships with clients and applicants.
Rental Repairs - Liaise with landlords, tenants and contractors to organise and ensure a prompt repairs service with strong communication and written records.
Administration and Compliance - Produce correspondence, maintain records, spreadsheets and databases, raise invoices, statements, process weekly rental arrears reports. Collect and process post. Maintain files to ensure they comply with our internal and external auditing requirements and current legislation.
Organisation - maintaining and co-ordinating outlook diaries; filing etc
Viewings - Confident, Informative and professional viewing service.
You will be well presented and key attributes will include:

Proficient in the use of Microsoft Office (Word/Outlook/Excel/Publisher and Access)
Excellent communication skills (written and verbal)
A strong interest in property and knowledge of the local property market
Good time keeping

Drive and ambition
Ability to use own initiative and work independently
