We are one of the largest criminal defence law practices in the South West of England. We are looking to recruit a full-time Administrator for our Keynsham office.
Hours: Full time
Days: Monday to Friday 8:30-5pm.
Responsible to: Practice Manager
Key Responsibilities:
Answer incoming phone calls, transfer calls or deal with callers' requests appropriately
Make outgoing calls, as needed
Assist clients with routine enquiries (e.g. court dates), where able, both in person and by telephone
Take and pass on accurate messages to colleagues in a timely manner
Scan, photocopy and print documents, as required
Maintain a clean, tidy, effective working area at all times
Monitor and maintain the reception area and noticeboards
Support the wider team with general administrative tasks as requested
Support colleagues, providing cover during staff absences
Action emails, as necessary
Order and monitor stationery supplies
Open, sort and distribute incoming mail and envelope, stamp and post outgoing mail
Transfer telephones to the out of hours service
Arrange cover for police station interviews, court dates, etc
Arrange meetings/appointments, when requested
Provide administrative support to the Practice Manager in relation to her duties
Open and update files in Law Fusion (case management system)
Proactively administer an efficient diary
Undertake other matters which you are competent to conduct
Work harmoniously with colleagues and clients of all cultures and backgrounds in accordance with our Equality & Diversity Policy
Undertake all mandatory training and induction programmes
Person Specification
Qualifications:
Educated to GCSE level or equivalent (essential)
GCSEs Grade C or 4 in English & maths (desirable)
NVQ qualifications (desirable)
Experience:
Experience of working with the public (essential)
Experience of working in a criminal defence law firm (desirable)
Experience of liaising with the police, courts, CPS, expert witnesses, interpreters (desirable)
Experience of using case management software (preferably Law Fusion) (desirable)
Skills (all essential):
Excellent communication and interpersonal skills (written and verbal)
Strong IT skills including use of office, outlook, excel, etc
Clear, polite, confident telephone manner
Effective time management (planning, organising and meeting deadlines)
Able to work using own initiative and as part of a team
Able to follow office policies, processes and procedures
