The postholder must have the following experience:
Minute Taking experience
Good typing skills
Good customer service
To provide direct secretarial & administrative support to the Ward Management team, inpatient wards, and additional support services. The successful candidate will work closely with teams providing up-to-date information the teams, production of reports and summaries, minute taking for meetings, creation and maintenance of records within designated timescales, maintaining of HR related documentation, diary management, mailbox management and other administrative tasks alongside supervisory duties. This is not an exhaustive list and will adapt to meet the needs of the service.
To provide a flexible proactive resource to support teams in the provision of services to include organisation of work for self and may have front line contact with service users, carers, the general public or other external stakeholders and internal colleagues. Administrators and Administrative Assistants will support one or more team(s). The focus of these posts may be on a variety of tasks including volume typing mainly from digital dictation, data inputting, copying, filing, ordering of supplies, checking and coding of invoices, reception duties, attending/ leading and minute taking, supervision of Administrative Assistants, auditing, organising events and supporting management.
Responsibilities include:
Taking accurate and concise minutes for meetings and producing them in a timely manner.
Consistently delivering a patient focused service, which promotes optimum independence.
Diary Management for the team and assigned Consultant Psychiatrist.
Mailbox monitoring and maintenance.
Scheduling meetings.
Upkeep and design of reporting requirements of the MDT.
Local ordering of dry goods and equipment.
Producing specific Agendas for meetings.
Booking rooms and conference facilities.
Undertaking duties as are commensurate with the post and the level of responsibility as directed by more senior members of staff.
Sending and uploading referrals to other services both internal and external.
Communicating with service users, clinical staff, visitors, carers, professionals and co-workers.
May deal with petty cash and budget expenditures.
Basic data analysis.
Drafting of documents, policies, presentations and displays using a creative approach.
Supervision of staff.
