ROLE OVERVIEW AND PURPOSE


The Mobilisation Support Administrator provides essential administrative and organisational support to the Mobilisation Management team, helping to ensure the smooth setup and transition of new and existing contracts across ABM's national portfolio.


The role includes supporting documentation control, updating project trackers in Smartsheet and SharePoint, and assisting with communication between operations teams, suppliers, and key stakeholders.


This position requires excellent communication skills, strong organisation, and the ability to work collaboratively across multiple projects to support the successful delivery of mobilisations in line with ABM's quality standards.


Note: Travel expenses will be covered when required.


KEY RESPONSIBILITIES

Providing proactive administrative and organisational support to the Mobilisation Managers across multiple concurrent projects. Supporting the use and upkeep of Smartsheet, Microsoft Teams, and SharePoint to record mobilisation progress, documentation, and action plans. Maintaining clear and accurate project documentation, reports, and trackers to ensure visibility of key milestones. Using Microsoft Word, Excel, and PowerPoint to prepare documentation, data summaries, and presentation materials. Assisting communication and information flow between internal stakeholders, operations teams, and suppliers to ensure consistency and timely updates. Supporting procurement and commercial activities by helping with quotations, purchase orders, and document submissions as required. Monitoring mobilisation milestones, tasks, and deliverables to help ensure deadlines are met and any issues are promptly flagged. Organising supplier and subcontractor documentation, ensuring compliance and readiness ahead of contract commencement. Contributing to reporting by gathering, reviewing, and formatting data for performance and financial updates. Ensuring version control and accessibility of all project materials within ABM's digital systems..

REQUIRED SKILLS AND EXPERIENCE

Highly organised, with the ability to manage multiple tasks and priorities while meeting deadlines. Excellent communication and interpersonal skills, with confidence in liaising with key stakeholders, operational teams, and suppliers. Proficient in Microsoft applications, including Word, Excel, PowerPoint, Teams, SharePoint, and Smartsheet. Strong attention to detail in document preparation, data handling, and reporting. Capable of working independently in a remote setting while maintaining effective collaboration with project teams. Adaptable and proactive, with a positive approach to supporting project delivery and problem solving. Demonstrates discretion and professionalism when handling sensitive or confidential information.

Desirable:

Previous experience in facilities management, project administration, or mobilisation support. * Understanding of mobilisation and transition processes within operational or commercial environments.
