Working Pattern: Mon - Fri, 8am to 4pm with flexibility i.e. 9 to 5 or 8:30 to 4:30

What you'll be responsible for:
Job Summary:
Administrators will support the effective operation of office processes and procedures within Oakwood Unit; the Administrator team will provide high quality administrative support between 8:00am and 6.00 pm Monday - Friday. All Administrators will be expected to work flexibly and undertake all administrative functions within the unit to ensure that unit is able to operate smoothly and effectively.
You'll learn the following whilst working at the trust:
1. An in depth understanding of the roles and responsibilities involved in working within the NHS
2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times
3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation.
Key Duties and Responsibilities
Reception:
Maintain a welcoming, neat and tidy reception area;
Collect, sort and distribute post for the unit;
Undertake reception duties and welcome / direct visitors into the unit and maintain a welcoming, tidy reception area;
Answer all telephone calls coming into the unit in a polite and timely manner, taking messages for clinical staff and directing appropriate calls to the Unit Manager;
Organise room bookings and assist in room preparation prior to and after service or visitor meetings;
Unit administration:
Provide administrative and clerical support to the unit manager and unit staff as required.
Administer all office systems, both electronic and hard copy, across the service, ensuring that patient files are maintained to a high standard and services run smoothly.
Liaise with Training and Development to organise staff training and maintain staff training records, keeping the ward manager informed of compliance.
Ensuring effective communication with all disciplines, patients and relatives.
Liaising with other departments/ outside organisations as necessary to fulfil role.
As necessary, attend meetings where the information may be sensitive and complex, taking and transcribing minutes. Distribute information prior and after meetings in a timely manner.
Data extraction from the 'RIO' patient information management system and other electronic systems on a daily basis.
Implement, maintain and ensure that robust administrative systems and processes are in place.
Operate office equipment, including printers, faxes, PCs and telephones.
Organise, collate and maintain patient records.
Maintain unit notice board.
Maintain stocks of documentation required on the unit
Communication:
Maintain effective and high-quality communication across the team as well as with all patients and visitors
Ensure the distribution of patient and staff communications and information across the service as required
Provide high quality liaison with other departments and agencies to assist in the arrangement of appointments and discharges and dealing with confidential information in an appropriate manner
You'll have the following skills/experience:
Previous Experience
Experience with word/ excel
Previous knowledge and experience of working in a busy office and / or customer care environment, undertaking a full range of administrative duties
Experience within a care setting
Knowledge, Skills & Abilities
Knowledge of IT systems and software
Ability to organise and prioritise own workload
Excellent interpersonal and communication skills
Ability to empathise, be supportive and sensitive to the needs of others
Ability to work to a high level of accuracy
Ability to work effectively as part of a team, demonstrating accountability for own work and an ability to work on own initiative
Ability to participate in meetings and take minutes
Willingness to learn new skills and attend training, supervision and other professional development opportunities
