We're growing fast and are looking for a
Solar Farm Administrator with a construction background
to become a key part of our Energistics delivery team. This role is essential in keeping our projects compliant, organised, and moving on schedule.
The Role:
As a Solar Farm Administrator, you'll provide high-level project and site administration support across multiple solar farm builds. You'll work closely with Project Managers, engineers, site supervisors, subcontractors, and suppliers to ensure documentation, schedules, procurement, and reporting are accurate and up to date.
This role suits someone who understands construction environments (site-based or office-based), speaks the language of contractors, and thrives on keeping projects tidy, compliant, and well-coordinated.
Key Responsibilities:
Project & Site Administration
Support Energistics Project Managers with daily admin across active solar farm sites
Manage and track project documentation: RFIs, technical submittals, variations, permits, site records, and progress reports
Maintain structured digital filing systems for each solar farm project in line with William Hynes Group standards
Produce meeting agendas, minutes, and follow-up action logs
Scheduling & Coordination
Coordinate site diaries, crew schedules, logistics plans, and delivery trackers
Liaise with subcontractors and suppliers to confirm timelines, access requirements, and materials ETAs
Support mobilisation and demobilisation processes for site teams
Procurement & Commercial Support
Raise purchase orders, track order confirmations, and follow up on lead times
Collect and log delivery notes, inventory records, and supplier paperwork
Assist with invoice matching, timesheets, and job-cost tracking
Compliance & Reporting
Support H&S and environmental compliance documentation: RAMS, inductions, permits to work, inspections, toolbox talks
Track training/competency records for site staff and subcontractors
Prepare weekly/monthly reporting packs on progress, procurement status, and site activity
Update and manage workflows within
(PlanRadar)
What We're Looking For
Required:
2+ years of administrative experience in construction, civil engineering, energy, or a site-delivery environment
Strong understanding of construction workflows and project documentation
Confident liaising with subcontractors, suppliers, and site teams
High attention to detail and ability to manage multiple project streams
Proficiency with Microsoft Office / Google Workspace
Strong written communication and document formatting skills
Desirable (Nice to Have):
Experience working on solar farms or renewable energy projects
Familiarity with EPC (Engineering, Procurement & Construction) delivery models
Exposure to grid connection, civil works, or electrical packages
Basic commercial, document control, or job-cost tracking experience
