We are looking for two Administrators to work within the Policy, Analysis and Standards Directorate.
The successful candidate will be required to provide an efficient level of administrative support to the Policy, Analysis and Standards Business areas. Duties include - managing the team mailboxes and responding to administrative requests, coordinating meetings requested by colleagues, maintaining budget spreadsheets, organising internal and external travel and accommodation requests and regular minute taking at team meetings. Candidates should demonstrate experience in the following areas:
Preparing and distributing documents within an agreed timescale.
Responding to a wide range of email requests, from internal and external stakeholders.
Experience of diary management and minute taking desired but not essential as training will be given.
Liaising with external organisations when booking travel and accommodation.
Processing fee and expense claim forms.
Promoting flexibility in order to provide administrative support when necessary
Ability to work effectively and communicate as part of a team as well as independently, the post offers a hybrid working structure including both home and office-based working.
Additionally, you must be able to demonstrate the following skills and experience:
A working knowledge of IT packages - particularly Excel, Word, Microsoft Teams, electronic mailing systems (ideally Microsoft Outlook), and the ability to effectively learn other bespoke programs.
Excellent communication and organisational skills.
The ability to prioritise a varied workload.
Excellent attention to detail.
Applicants, as a minimum, should be educated to SCQF Level 4 (National 4/SVQ1) and/or be able to demonstrate direct relevant experience for this role.
