Admissions Assistant- Senior School

Hours:

37.5 hours per week, Monday - Friday 8.30am - 4.30pm

Term Time plus 4 weeks - some Saturday and evening work as required

Salary:

Band B point 20 to point 21 (25,226 - 26,147) FTE

Actual gross salary for band B point 20 for the period from 1 March 2026
until 31 August 2026 (9,242.37)

Main Purpose of Job:



The Admissions Assistant supports the Director of Admissions, Marketing and Enterprises and the Head of Admissions in delivering an efficient, professional, highly accurate and well communicated service to all stakeholders.

Thriving in a fast-paced environment, you will possess exceptional organisational and communication skills and meticulous record-keeping to ensure the smooth processing of applications. Excellent computer literacy, communication skills and administrative expertise are essential. This role requires a professional, proactive, detail-oriented individual who can manage multiple tasks efficiently, while providing excellent service to prospective families and supporting the overall admissions process and the business needs of Wells Cathedral School.

Main Duties and Responsibilities



Support for Director of Admissions, Marketing and Enterprises and Head of Admissions

Assist the Director of Admissions, Marketing and Enterprises and the Head of Admissions with various tasks related to the progress of enquiries and applications across all areas of the School: Provide general administrative support to ensure the smooth running of the admissions process.
Event Coordination and Support

Assist in organising and running recruitment events such as Open Days, Scholarship Assessments, Visits, Taster Days, and Induction Days etc; Ensure all events provide an excellent showcase for the Wells Cathedral School and offer a positive experience for attendees; Manage the setup and coordination of Taster Days, including communicating details to relevant internal departments and stakeholders; Support the preparation of materials for external recruitment events and all pre and post event communications, Customer Service and Communication; Provide outstanding customer service through email, telephone, and in-person communication with prospective families and other stakeholders; Respond to enquiries and communications within the agreed timelines for the department; Be the first point of contact for school-related admissions enquiries and ensure the accurate and timely flow of information; Ensure responsive, timely, clear and professional communication with prospective parents, including arranging visits to the School and coordinating meetings with leadership team members as appropriate; Provide prospective families with a guided tour of the school as required, ensuring a positive first impression.
Administrative Support and Data Management

Ensure that the school database, iSAMS, supporting spreadsheets, and third-party records are accurately maintained for each pupil joining the School; Monitor and triage the Admissions inbox in a timely manner, ensuring efficient handling of all enquiries; Ensure that prospective pupil files, registration, and joining documents are complete, accurate, and up to date; request additional information as needed; Manage and support the provision of online testing for prospective pupils; Ensure that prospective pupils are fully registered and that registration fees are paid.
Collaboration and Relationship Building

Develop positive working relationships with both teaching and non-teaching staff who support the admissions process; Work closely with the Marketing team to ensure that the website and all materials are kept up to date with admissions-related information; Stay informed about school-wide updates, sector trends, and admissions-related news to provide accurate and current information.
Statistical Reporting and Record-Keeping

Assist the Head of Admissions with the weekly provision of enquiry and pupil statistics and a review of admissions pipeline; Prepare and maintain briefing notes for relevant staff in advance of family visits and admissions-related activities.
General Administrative Duties

Act as a positive ambassador for the School at all times; Provide a detailed handover to the Head of Admissions at the end of each term to ensure continuity of work; Undertake any other tasks and responsibilities reasonably requested by the Director Admissions, Marketing and Enterprises or the Head of Admissions.
Senior School

To be responsible and take ownership for all enquiries and the management of the admissions journey for the Senior School applicants; Work closely with the Head of Admissions to ensure that annual recruitment targets are understood and met; To work closely with the Head of Marketing to increase conversions and identify any necessary interventions.
