Our Advanced Breeding Team based in Newbiggin, Penrith are looking for a proactive individual to join the team as Advanced Breeding Administrative Assistant

Performance Standards Clinical and Business Excellence:-



Maintain an up to date standard of knowledge of clinical products and services, complying with Practice Standards, legal and regulatory requirements. Take ownership and responsibility for the handling and deliverance of your own tasks and responsibilities, ensure completion and follow up. Keep clients and colleagues informed of relevant practice promotions and marketing projects. Ensure accurate clinical records are maintained and updated with personal data and communications including telephone and texts. Communicate regularly to support and advise colleagues across all sectors of any changes to procedures, systems or client information. A culture of continuous learning and self-development is proactively encouraged with CPD provision from the Practice.

Job Role



? Perform all administrative and practical duties within the Advanced Breeding (AB) office as listed below
? Work with other AB staff to ensure efficient running of the department.
? Take phone calls and establish an excellent rapport with clients.
? Ensure phone calls are resolved quickly and/or passed to the appropriate person in a timely manner.
? Same as above with general AB email enquiries.
? Once clients have work booked, liaise with Lead technician and Client Liaison to ensure the following:
? Flush/ Recipient programmes prepared and sent out to client & vet along with all required paperwork.
? Input on farm reports into the database and produced ET1 and ET2 forms for work completed
? Use the VetIT system to charge clients and input information.
? Keep client embryo stock lists up to date
? Check and sign off invoices when issued by accounts (time sensitive)
? Assist in getting all the necessary paperwork and logistics arrangements for exports. Creating a timeline to work with to ensure the planned date of dispatch is achieved
? Annually, in January, prepare embryo storage charges to send out to clients
? Prepare drug and consumables orders as required and ensure records are kept of drugs going in and out of the AB department
? Prepare an annual embryo tank inventory to check contents correct against the database.
? Arrange couriers for domestic embryo shipments in and out of PVG and all related paperwork.
? Keeping accurate store records for embryos
? Assist with keeping embryo stores maintained and tidy with accurate records for 6 monthly store inspections
? Provide support to colleagues within the wider team as and when required
? Liaise with colleagues within the AB team and whole practice where required to maintain good communication, attend team meetings and assist with some ET work when required.
