Job Description

The post holder will work with the Innovation Accelerator Fund (IAF) Administrator to support with administrative tasks related to research, innovation and development (RI&D) functions at Synnovis, including the IAF, Specialist Service Development Group (SSDG) and the Future Leaders in Innovation.



The primary focus of the role will be on the IAF, which supports pathology-based research projects to promote innovation and diagnostic development. The post holder will provide administrative support with IAF meetings, including the preparation and distribution of meeting packs, minute taking and action tracking. They will be required to support with the maintenance of the IAF email account, including monitoring the inbox and responding to emails, and with tracking progress of IAF projects.



As part of this role, you will be completing a Business Administration apprenticeship programme in conjunction with your full-time job duties and responsibilities. You will be required to attend virtual workshop sessions with DBC Training who will deliver the training that cover the knowledge, skills, and behaviours of the apprenticeship framework. You should expect to cover modules such as, record keeping, document production, planning and organisation, stakeholder communication and business fundamentals.



The Future Leaders in Innovation is a group of like-minded employees who strive to promote and encourage positive change at Synnovis. During a two-year rotation, members are encouraged to develop, lead and manage a number of initiatives. The post holder will attend six-weekly Future Leaders in Innovation meetings and support the group by assisting with ad hoc meetings and event related tasks, as well as arranging the group's training calendar.



The SSDG aims to support staff with the application of novel diagnostics developed by Synnovis laboratories, facilitating opportunities for commercialisation. The post holder will track and follow up actions from the six-monthly SSDG meetings for each of the five service lines and distribute meeting agendas and minutes to the relevant distribution lists.



The post holder will also assist in the promotion of RI&D at Synnovis, including communicating funding opportunities and capturing and sharing details of RI&D highlights, academic publications and upcoming scientific meetings, through effective communication with both internal and external Communications teams. They will also support with the preparation of meeting packs for RI&D updates and assist with organising events such as scientific symposiums and staff career development days.



The postholder will have good communication skills and attention to detail.



Key Relationships



The post holder will report to the IAF Administrator and have a close working relationship with the Chief Scientific Officer. They will liaise with Trust stakeholders and staff at all levels, across scientific, clinical and corporate areas and work closely with the IAF Panel and Future Leaders in Innovation. They will also work closely with communication teams to support with the promotion of RI&D activities.



Support administrative tasks related to RI&D functions at Synnovis.



Support IAF meetings, including preparation and distribution of meeting packs, minute taking and action tracking.



Manage the IAF email account, including monitoring incoming queries and responding appropriately.



Check IAF application forms for completeness and liaise with applicants regarding errors, omissions or further information required.



Track the progress of IAF projects and escalate any delays or issues to the appropriate stakeholders.



Assist with the preparation of RI&D updates for meetings, including those for the Synnovis Group Board.



Promote RI&D across Synnovis by sharing funding opportunities, scientific highlights and research outputs.



Build positive working relationships and communicate effectively with colleagues and stakeholders.



Maintain accurate and up-to-date documentation and ensure the confidentiality of sensitive information.



Develop and maintain own Personal Development Plan to support continuous learning.



Synnovis is a pathology partnership between SYNLAB UK and Ireland, and the NHS, including sites, Guy's & St Thomas' NHS Foundation Trust and King's College Hospital NHS Foundation Trust, to deliver and transform pathology services across Southeast London.



The partnership provides services to 1.7 million people living in Southeast London, as well as to hundreds of thousands of patients from outside the region who use local healthcare services.



The partnership provides diagnostics, testing and digital pathology for hospital trusts, GP services and other healthcare providers.

Support administrative tasks related to RI&D functions at Synnovis.



Support IAF meetings, including preparation and distribution of meeting packs, minute taking and action tracking.



Support the management of the IAF email account, including checking the inbox and responding to emails.



Check that received IAF application forms have been completed correctly.



Ensure that all personal and other information relating to IAF applications is kept secure and treated as confidential.



Liaise with IAF applicants if there are errors or omissions present in their applications, if further information is requested by the IAF Panel or if they have been invited to present their application to the IAF Panel.



Inform IAF applicants of the outcome of their application and any next steps.



Support with the tracking of IAF project progress and highlight any projects which are delayed or experiencing issues.



Assist in the promotion of RI&D at Synnovis, including communicating funding opportunities and capturing and sharing details of RI&D highlights, academic publications and upcoming scientific meetings.



Support with the preparation of meeting packs for RI&D updates, including for the Synnovis Group Board.



Attend six-weekly Future Leader in Innovation meetings.



Support the Future Leaders in Innovation with the arrangement of ad hoc meetings and event related tasks, such as room bookings.



Assist with arranging the Future Leader in Innovation training calendar.



Track and follow up actions from the six-monthly SSDG meetings for each of the five service lines.



Distribute meeting agendas and minutes to the relevant SSDG distribution lists.



Build positive working relationships and communicate effectively.



Maintain files and documentation thoroughly and accurately.



Ensure that records are kept accurate, comprehensive and up to date.



Develop and maintain own Personal Development Plan.
