About the Role

We are seeking an experienced Asset Management Data professional to join our vibrant Publishing and Content Operations team. You will be responsible for creating, designing, and implementing a suite of operational reports from OUP\xe2\x80\x99s core systems (for example SAP, Atlas, DAM, Soutron and CALM) to support the Asset Management Specialists to carry out efficiently their lifecycle management and other core processes. You will support the team, through systems data to provide effective governance and efficiencies for all physical and digital assets across the Press. This role will also provide support to the team\xe2\x80\x99s management of business stakeholders and third-party service providers, by providing evidence-based data and high-level Visio workflows. You will support the design and implementation of processes related to all aspects of physical and digital Asset Management. You will also be in charge of supporting the Head of Asset Management and the Asset Management Analyst across department projects and communications, including presentations and messaging on external websites, internal social media, and shared sites.

Key responsibilities in this role will include:

  • Responsible for running and maintaining the operational reports that are used by the Asset Management teams to monitor governance.
  • Collating data for the teams to review department output, and manage all elements of asset lifecycle reporting, including the disposal of content that is no longer required by the teams via resale or charitable donations, as appropriate.
  • Supporting the Asset Management teams to capture workflows and to create, review and maintain department procedures and policies. Using standard methods across the teams to visualize, write, and appropriately store definitive documentation, ensuring easy access.
  • Managing the regular user data and delivery reports that are supplied by third-party service providers. Combining supplier data accurately to OUP metadata and financials, to assist the teams with subscription and membership analysis and support the Asset Management supplier management conversations.
  • Assisting the Asset Management Analyst with the transition of new acquisition data into existing systems as well as the transition of existing data to appropriate new solutions, as required.
  • Coordinating UAT tests and writing scripts that can be used by the technical and end-user testers. Assisting with user change impacts relating to the implementation and roll-out of new data management solutions, features, or processes. Using clear, comprehensive, effective, and accurate reporting and visualization to assist with documenting new processes or implementing training.
  • Assisting with the preparation of appropriate communications both for internal and external stakeholders by creating messaging that promotes asset accessibility and maximizes asset governance awareness.
  • Assisting with the documentation, data, reporting requirements, and process design across Asset Management initiatives. Setting up project meetings and efficiently documenting and tracking action points.
We operate a hybrid working policy that requires a minimum of 2 days per week in the Oxford office.

About You

To be successful in this role, you will ideally have:

Essential:
  • Intermediate level of experience with Excel and other data management tools \xe2\x80\x93 (such as Monarch and Alteryx)
  • Experience working with data and creating process workflow documentation \xe2\x80\x93 (using Visio)
  • Knowledge of content metadata and related considerations.
  • Strong collaboration skills.
  • Strong organizational, problem-solving, and time-management abilities.
  • Effective communication skills, building positive stakeholder relationships.
  • Strong team player, confident working under own initiative.
  • Confident working with technology and learning new systems/features.
  • Open to and confident in championing change.
  • Capable and considerate in supporting users with processes and systems.
Desirable:
  • Knowledge of Library, Archiving and Digital Asset Management systems and reporting tools.
  • Experience of involvement in successful projects or change initiatives.
  • Experience of communicating information to engage both expert and non-expert audiences.
  • Experience working with data, processing documentation and communications
