AECOM\xe2\x80\x98s B+P UK&I pursuits team leads and manages B+P\xe2\x80\x99s largest and most strategic tender submissions across its established markets (mostly tenders between $250K and $5M). Bringing together strategy, positioning, bid management, co-ordination, writing, visualisation, training and knowledge professionals \xe2\x80\x93 and through a culture of collaboration and sharing. The B+P UK&I pursuits team creates a focus for strategic pursuits and promotes the use of AECOM\xe2\x80\x99s bid processes and tools to enable capture managers/bid directors to pursue and control bronze classified opportunities themselves, where a go/no-go has deemed appropriate. The B+P UK&I pursuits team\xe2\x80\x99s role is to: prepare and respond to the prospect pipeline; drive strategy, oversee positioning activities, manage and lead the creation and production of winning submissions; and drive bidding improvements and best practice across all sectors within the UK and Ireland.

The assistant bid manager will generally support the bid manager leading the opportunity, having read and understood the client requirements. They will devise draft bid programmes, co-ordinate inputs from subject matter experts and track progress against tasks and individuals for reporting to the bid manager.

The assistant bid manager will work collaboratively with the bid manager, capture manager/bid director, technical leads, identified members of the bid team, operational colleagues, writers (where appropriate) and graphics team.

Aside from supporting bids, the role requires pro-active engagement in ad hoc tasks around general bidding best practice, including but not limited to collaborating with the knowledge management team to record our model responses and valuable information; interact with graphic designers to support on ad hoc and simple graphics requirements. These tasks will support the B+P UK&I pursuits team and the major pursuits team to develop processes, tools and excellence guides around bidding.

Role Responsibilities:

  • Review tender documents and support in gathering proposal information to create winning responses.
  • Review existing content where relevant and provide the bid manager with the appropriate information.
  • Prepare templates, CVs, case studies and occasionally storyboards; chase content contributors as required.
  • Co-ordinate the preparation of identified expression of interests, pre-qualification questionnaires and proposals.
  • Co-ordinate with other geographies in the collation of information for bids that are led outside of the UK&I
  • Ensure a winning, compliant, error free document arrives with the client in the correct format, meeting the deadline.
  • Implement a best practice approach and promote the use of AECOM\xe2\x80\x99s bidding processes and tools to enable capture managers/bid directors to pursue bronze classified opportunities themselves, where a go/no-go has deemed appropriate.
  • Provide the information manager with submitted proposals to aid the breakdown of model answers for a library of pre-written proposal content, where required.
  • Assist in the preparation of presentations for specific pursuits.
  • Identify and share lessons learned with the wider bid team to help drive the continuous improvement of the bidding process and tools.
  • Supports the team in ad hoc activities to develop our bidding excellence.
  • Pro-actively identifies improvement areas in our activities and shares these with the B+P UK&I pursuits team, working to resolve/improve issues as directed.
  • Supporting sector bid manager with the management of their sector pipelines to ensure opportunities are recorded, pursued and maximised to support fee conversion and assisting Middle East sector bid manager with the monthly lessons learned analysis in order to drive continuous improvement in our process and bidding efforts.
Qualifications

Minimum requirements:
  • Previous experience in assisting bid management in similar market sectors/industry, with evidence of supporting significant/strategic bids within the UK and Ireland (Middle East experience would also be beneficial).
  • Excellent verbal and written communication skills along with experience of coordinating multi-disciplinary proposals of a high strategic value.
  • An eye for detail, not accepting second best and taking personal pride and responsibility for all aspects within their control.
  • A flexible approach to supporting bids and business development activities across the UK and Ireland.
  • The ability to work professionally and collaboratively and build credibility with senior colleagues.
  • The ability to work collaboratively with internal clients and to tactfully, but effectively chase others for contributions as needed.
  • A methodical approach to assisting in the administration and production of bids.
  • The ability to work positively under pressure and deliver quality output to deadlines.
  • The drive to improve and adhere to processes / systems and the motivation to contribute to and support bid teams.
  • An experienced and efficient multi-tasker.
Technical skills:
  • Proficiency in Microsoft Word, Excel and PowerPoint, Microsoft Teams.
  • A working knowledge of Adobe InDesign.
  • Desirable: APMP certification.
