We are looking for our next Assistant Building Manager to deliver a luxury, home-from-home experience for our residents whilst ensuring the upkeep of our premium site & facilities are maintained at the highest standards throughout their shift.
We are looking for driven and ambitious individual with a desire to succeed. The Assistant Building Manager is a pivotal role as you will be responsible for delivering the highest levels of customer service to all residents and guests as well as maintaining the security of the building throughout the day and will also include dealing with staff development and training.
Role Responsibilities:
o Upload monthly testing and compliance reports to the compliance provider, confirming all information is accurate and compliant.
o Assist with HR-related matters, including conducting investigations, preparing documentation for recorded conversations, managing escalation procedures, and supporting one-on-one reviews.
o Prepare, raise, and track purchase orders to support building operations.
o Work closely with the Building Manager to support daily operations and respond to ad-hoc requirements. Be prepared to be in charge in the absence of the Building Manager.
o Support the scheduling of staff rotas, coordination of cover, and approval of leave requests.
o Assist with payroll preparation and ensure accurate submission of staff hours.
o Conduct regular building inspections, coordinate housekeeping, and log maintenance activities.
o Carry out stock checks and place orders as required.
o Perform internal audits on documentation, including compliance records and building inspection reports.
o Oversee the PPM timetable and ensure residents receive advance notice of maintenance work.
o An experienced customer service professional, well-versed in delivering premium experiences to residents & guests.
o Our operations run seamlessly with the support of a variety of technology systems and software; our Head Concierge must be technologically astute.
o Excellent communication skills. English will be the primary spoken language; however multi-lingual skills would be warmly welcomed.
o Strong organisational and leadership qualities with an ability to remain calm under pressure.
o Adaptability, creativity & positivity.
o Experience of excel will be advantageous as you will have administrative tasks to perform.
o Monitoring the move in schedule ensuring all tasks are completed in a timely manner
o Reporting and actioning (where possible) any maintenance issues identified within the building/apartments.
o Maintain waste management areas adhering to health & safety regulations, ensuring potential hazards are addressed / cleaned / tidied / reorganised as required.
o Management of the front desk function.
o Promote resident events and any Affinity Living/OPS strategies
o Moving residents in and out/completing inventory's
o Managing any customer queries and escalating where necessary
o Resilience, with an ability to effectively navigate unexpected situations.
o Flexibility: Our facilities are open to residents 24 hours a day, 356 days a year including all bank holidays, festive & religious breaks. Where festive and religious celebrations require time off, we will always try to accommodate, however flexibility is imperative to be available as required to ensure continuous service to residents.
