Job Description

Operations Services department provides processing support for the front line business units handling trade finance, loan and cash management products. The department also includes the Business Risk & Controls, Financial Crime Operations, and Facilities Management.


Facilities Management is responsible to deliver excellent general administrative services to the whole bank covering different functions. It includes workplace management, logistic and events, building projects, commercial property management, health and safety, and security risk management. As an Assistant Building Projects - Mandarin Speaking, you will be responsible for assisting in the coordination of the bank's projects and project-related administrative tasks. You will also assist with tasks related to the bank's commercial properties and contribute to providing efficient administrative services. This is a full time permanent position.

Key responsibilities



Assist with the implementation of projects Monitor all phases of the project implementation Prepare and distribute materials for briefing and presentations Assist with project accounting and auditing Prepare both internal and external correspondence such as memos, letters, reports, agendas, meeting material and minutes Verify transactions and maintain accurate log records Ensure project documents are complete and properly filed Translate project related documents as needed Organize and manage project documentation Monitor projects process and manage financial trackers Manage and liaise with contractors and subcontractors involved in projects Assist with tasks related to Bank's commercial properties, including but not limited to leasing/letting, tenancy management and service charge related matters Assist with budgeting, forecasting and monitoring of all relevant expenses for the Bank's commercial properties Perform other related facility administrative duties as assigned Provide administrative and logistical support to the team Assist with the budgeting, cost analysis, procurement and supply-related tasks

Requirements



Degree educated in Business, Finance, Accounting or Economics Relevant professional qualification is desirable Experience within Financial Services industry with a proven track record in similar business area Excellent knowledge of relevant IT applications Solid understanding of current compliance and regulatory requirements Excellent English and Mandarin communication skills Ability to use complex data sets and apply statistical analysis Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Access) Good email writing and business communications skills
