We are now looking for a confident, organised, and proactive
Assistant Practice Manager
to support the day-to-day running of the practice and work closely with the Business Manager to ensure smooth operations, full diaries, and a positive team environment.
Role Overview
This is a hands-on operational role suited to someone who enjoys being involved in all areas of practice life. You will support the Business Manager in overseeing daily operations, compliance, diary performance, and team management, while also remaining actively involved in front-of-house and administrative duties.
The ideal candidate will have
at least 2 years' management experience
, be confident managing people, and thrive in a busy healthcare or customer-focused environment. Dental experience is highly desirable and will give candidates a head start, but full training can be provided for the right individual with strong management skills.
Key Responsibilities
Practice Operations & Performance
Supporting the Business Manager with the day-to-day operational running of the practice
Ensuring appointment books are well managed, productive, and optimised
Proactively contacting patients to maximise diary utilisation and reduce gaps
Monitoring workflows to ensure smooth patient journeys and efficient systems
Compliance & Governance
Supporting compliance with CQC, NHS, GDPR, and internal policies
Ensuring systems, processes, and records are maintained accurately
Assisting with audits, reports, and compliance checks
People Management
Supporting, supervising, and motivating the front-of-house and admin team
Assisting with onboarding, training, and performance management
Helping to maintain a positive, professional, and supportive team culture
Acting as a point of escalation for day-to-day team queries or issues
Admin & Front of House (Hands-On)
Greeting patients and managing front desk and back-office operations
Handling phone and email enquiries professionally and efficiently
Booking and managing appointments using SOE/Exact software
Processing payments, NHS/private paperwork, and insurance claims
Maintaining accurate patient records and administrative systems
Supporting internal marketing and patient communications
What We're Looking For
Minimum 2 years' management or supervisory experience (essential)
Proven experience managing or supporting a team
Dental practice experience preferred, but not essential
Confidence using practice management software (SOE/Exact ideal)
Strong organisational and problem-solving skills
Excellent communication skills with patients and staff
Professional, calm, and approachable leadership style
Ability to work under pressure and manage competing priorities
Proactive mindset with a willingness to take ownership and responsibility
