Overview


We are seeking a reliable and well-organised Assistant Office Supervisor to join our team. This is a varied, office-based role supporting the smooth day-to-day operation of the business, including general administrative and personal assistant duties. The position involves accounting and transport-related tasks. We are looking for a friendly, adaptable all-rounder who is comfortable managing a range of responsibilities and contributing to a positive and professional workplace. Responsibilities



General office administration and clerical duties Handle incoming calls and correspondence with professionalism and courtesy, demonstrating excellent phone etiquette Data entry, filing, and maintaining accurate records Assisting with basic accounting and bookkeeping tasks (invoicing, purchase orders, reconciliations) Supporting transport/logistics administration where required (scheduling, documentation, coordination) Liaising with management, internal staff, suppliers, and clients Knowledge of Budget Forecasts. Monitoring Vehicle Finance agreements. Experience or understanding of transport/logistics administration (advantageous) Strong organisational and time-management skills Good communication skills, both written and verbal Proficient in Microsoft Office (Word, Excel, Outlook) Ability to work independently and as part of a team Maintain filing systems, both electronic and paper-based, to ensure easy retrieval of information. Support team members and management with clerical duties, including typing documents. Collaborate with other departments to facilitate communication and improve workflow. Create and update records and databases with personnel, financial and other data.

Skills



Proven office experience with a strong background in administrative roles. Proficient computer skills, including expertise in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications. Strong organisational skills with the ability to prioritise tasks effectively. Excellent typing skills with attention to detail for data entry tasks. Able to work well as part of a team Adaptable and flexible: able to work on a range of different tasks, work under pressure and meet deadlines, work without supervision Strong attention to detail and work to a high level of accuracy Problem-solving Excellent customer service and communication skills, both written and verbal Confidence Organisational skills and the ability to take the initiative and work in a methodical manner Experience of Xero this would be an advantage to us. Understanding of financial procedures. Sound judgment to identify and report problems to supervisors and lead on resolving them
