To assist the Practice Manager and Director in ensuring that the legal practice operates efficiently, ethically, and in compliance with all applicable regulations while delivering high-quality legal services to clients.
Duties and Responsibilities
Day-to-day responsibilities will include the following:
Financial Management:
Assisting the Practice Manager and Director with managing the financial aspects of the firm, including budgeting, financial reporting, and billing processes. This includes working closely with accountants or financial professionals to ensure compliance with financial regulations and monitor the firm's financial health.
Human Resources:
Assisting the Practice Manager and Director with recruitment, onboarding, and performance evaluation processes for legal staff. This includes hiring new solicitors, paralegals, and support staff, as well as overseeing training and professional development programs.
Operations:
Assisting the Practice Manager and Director with handling the day-to-day operational aspects of the firm, such as office management, facilities, and technology - ensuring that the firm has the necessary resources and infrastructure to support its legal work.
Client Relations:
Assisting the Practice Manager and Director with maintaining and enhancing client relationships. This can involve managing client communication, addressing concerns, and ensuring that clients receive high-quality legal services.
Compliance:
Assisting the Practice Manager and Director with making sure that the firm complies with all relevant laws, regulations, and ethical standards. This includes overseeing compliance with legal industry regulations and codes of conduct.
Strategic Planning:
Assisting the Practice Manager and Director with to develop and implement strategic plans for the practice. This can include setting goals, identifying growth opportunities, and developing business strategies.
Technology and Information Management:
Assisting the Practice Manager and Director with overseeing the adoption and utilisation of technology tools and software within the firm to streamline legal processes, improve efficiency, and enhance client service.
Risk Management:
Assisting the Practice Manager and Director with identifying and mitigating potential risks to the firm, such as legal malpractice risks or cybersecurity threats.
Administrative Support:
Assisting the Practice Manager and Director with overseeing administrative staff responsible for tasks like scheduling, document management, and client intake processes. On occasion, this will include undertaking administrative duties where required such as processing incoming and outgoing post and answering telephone calls.
Marketing and Business Development:
Assisting the Practice Manager and Director with marketing and business development efforts to attract new clients and grow the firm's client base.
General Duties and Responsibilities will include:
Maintain confidentiality at all times.
Undertake training as and when required.
Maintain a professional attitude towards clients, visitors, and colleagues at all times.
Adhere to regulations as imposed by funders and regulators.

Person Specification
Essential
Experience of working in a Legal Aid firm and with processing Legal Aid claims
Experience of managing people and resources
Understanding and knowledge of the complexities of working within a law firm
English and Mathematics GCSE or higher qualification
Excellent written and spoken English
An ability to work well with others, under supervision or as an individual
Experience of using Microsoft Word, Excel and Outlook
Ability to communicate effectively with clients and visitors on the telephone and in person
Ability to multi-task and prioritize
Excellent time management skills
Ability to work in a dynamic environment
A commitment to the law and implementation of the same.
