Job Description

About Us

SM Property Management Solutions (SM) is a UK-based company specialising in fire-door manufacturing, installation, compliance, and maintenance. Established in 2012, SM is accredited under BM TRADA's Q-Mark Fire Door Installation & Maintenance schemes. We are committed to delivering high-quality, fully compliant fire-door solutions while fostering a culture of safety, sustainability, and operational excellence. Our team aims to become carbon neutral by 2030, and employees receive ongoing industry training and professional development in fire safety and construction disciplines.

The Role

The Assistant Project Manager will support the Project Manager in overseeing fire-door installation and maintenance projects from planning through to completion. This role focuses on internal coordination and site support. You will assist in project scheduling, documentation, and quality control, working closely with site managers, engineers, and subcontractors. The ideal candidate is motivated to learn about fire-door compliance and will help ensure projects are delivered on time, within budget, and meet all safety and regulatory standards.

Key Responsibilities

Project Coordination & Support:

Provide administrative and project support - schedule site visits and meetings, maintain project logs and documentation (diaries, reports, correspondence).

Internal Communication:

Act as a liaison between on-site teams and the main office, ensuring smooth information flow, escalating issues, and sharing progress updates for effective project delivery.

Planning Assistance:

Help the Project Manager in preparing schedules and tracking milestones. Support resource planning by coordinating with procurement and site teams to ensure materials and equipment arrive as needed.

Fire-door Surveys:

Conduct or assist with detailed fire-door condition surveys in line with BS?8214 / EN?1634 standards, measuring openings and documenting defects or non-compliances.

Compliance & Quality:

Ensure installations and repairs follow manufacturer instructions and building regulations. Assist in checking work against fire-safety guidance (e.g. Approved Document B), and prepare clear survey and inspection reports.

Health & Safety Support:

Help implement site H&S protocols - perform point-of-work risk assessments, participate in toolbox talks, and support site inductions to promote a strong safety culture.

Documentation & Reporting:

Maintain accurate records and reports (installation logs, RAMS/ITP records, handover packs) to ensure audit readiness. Prepare written summaries of survey findings and remedial recommendations.

Administrative & Procurement Tasks:

Assist with material take-offs, purchasing, and tracking deliveries. Handle general office duties as needed (data entry, filing, etc.) to support the site team and keep projects on track.

Risk Management:

Assist in identifying project risks (delays, compliance issues, resource constraints) and propose mitigation strategies in coordination with the Project Manager.

AI & Digital Adaptability:

Embrace and learn AI-driven project management and reporting tools to improve efficiency and accuracy in workflows.
Qualifications & Experience

2-3 years' experience in a construction-related role (e.g. site support, joinery, surveying, or site management) or a relevant construction/project management degree. Working towards or holding a CSCS card and SMSTS (Site Management Safety Training) certification is preferred. Proficient in Microsoft Office (Word, Advanced Excel, Outlook) and comfortable learning project-management software. Full UK driving licence and willingness to travel to project sites nationwide. Familiarity with fire-door regulations (BS?8214, EN?1634) and BM TRADA Q-Mark standards is a plus; training will be provided. Working towards professional accreditation (e.g. MCIOB or similar) is a desirable career path.
Person Specification

Organised, proactive, and reliable, with a positive attitude towards learning and improvement. Excellent organisational and multitasking skills, with strong written/verbal communication and a keen attention to detail. Adaptable and eager to learn new technologies, including AI tools, for project delivery. Strong interpersonal skills; able to collaborate with engineers, site teams, and subcontractors, and to handle sensitive issues tactfully. Commitment to quality and compliance, with a safety-first mindset. Resilient and adaptable, capable of multitasking in a fast-paced construction environment.

We manage fire-door projects across England, offering a challenging and varied workload.
