We are seeking a dedicated and proactive Assistant Property Manager to support the daily operations of our property management team. The ideal candidate will possess strong administrative and customer service skills. Will suit a self motivated individual who can deal with customer enquiries and can see these through to conclusion. Previous experience in Leasehold property management is ideal but not compulsory as training will be given and the opportunity to work towards IRPM qualification. The role is to support a small property management team along with general office admin duties.
Duties
To provide support to the property management team.
Working closely with the Property Management Team assisting with the management of the portfolio.
Issuing works orders, chasing contractors, and ensuring the works undertaken to satisfactory completion.
Completing mail merges
Obtaining quotations where necessary
Annual review of contracts alongside property management team and to provide assistance for tender reviews.
Distribution of keys, parking permits etc
Issuing newsletters via mail chimp or another platform
Taking detailed notes and producing meeting minutes
Assisting Leaseholders in submitting and managing insurance claims for damages to communal areas.
To take on the responsibility of projects as and when required to be completed to the given deadlines. Including but not limited to:
Managing and Updating of the Access Log
Managing and Updating the Compliance diary
Managing and Updating the Health and Safety escalations
Managing Budget tendering as and when required
Answering incoming calls and liaising with Property Managers
Printing, copying, binding, franking etc
Ordering stationary
Qualifications
Previous experience in property management or a related field is advantageous but not mandatory.
Strong administrative skills with proficiency in data entry and office software applications.
Excellent phone etiquette with strong verbal communication skills to interact effectively with clients and team members.
Familiarity with Resident or similar property management software is preferred.
Ability to work independently as well as part of a team, demonstrating initiative and problem-solving skills.
A keen attention to detail with strong organisational abilities to manage multiple tasks efficiently.
