Introduction:




The Berkeley Foundation is looking to recruit a Grants and Admin Assistant, to support its small and close-knit team. This entry-level position is a great opportunity to build your administrative skills, and develop your experience and understanding of the charity and funding sectors. We are offering this role as a Business Administration Apprenticeship (Level 3).


We are looking for a motivated individual who is eager to learn new things and get involved in the Foundation's work. You should have good written and spoken communication skills, be punctual and organised, and enjoy working within a team.


You will be joining a supportive and experienced team that will play a key role in your learning and development. You will work closely with all members of the team and will be encouraged to identify areas of interest that we can work with you to develop through your role.

Role description:




To help the Berkeley Foundation to achieve its goals for young people and communities, by providing high-quality administrative support and assisting with the delivery of the Foundation's partnerships, grants programmes, data collection and communications.

Key Duties and Responsibilities:



Grants:



Act as the first point of contact for grant applicants and enquiries to the Foundation, providing guidance and support to potential applicants; Undertake initial eligibility checks for expressions of interest and grant applications received, ensuring relevant information about local charities is shared with the wider business where appropriate; Support with the assessment of grant applications; Support with organising and delivering assessment panels Communicate with charities about the outcome of their applications; Support with notifying charities of the outcome of their applications; Draft grant payment letters to charity partners; Ensure the SharePoint grants and partnerships database is kept up to date with key information and supporting documents; Support the development of new grant making programmes by developing a knowledge of the sector and undertaking research as required.

Communications:



Assist with the creation of content for the Foundation's website, social media, newsletters and publications; Draft social media content for the Foundation and support with the co-ordination of the social media schedule; Assist in the organisation of Berkeley Foundation events; Support with producing reports.

Administrative support:



Maintain effective electronic and paper filing systems for the Foundation; Print and distribute Board packs; Organise internal and external meetings as required; Ensure incoming invoices are recorded and processed accurately and paid in a timely manner; Monitor and report on the Berkeley Foundation budget; Ensure that office supplies are maintained and new supplies are ordered where needed.

Other:



Undertake any other duties appropriate for the role that may be required. There is scope to develop individual areas of interest relevant to the role

Essential:



Good organisation and time management skills, with the ability to work to deadlines; Good IT skills, particularly using Microsoft Office; Good numeracy skills; Good attention to detail; Good written and spoken communication skills; Able to work effectively within a team; Able to show initiative, solve problems, and identify areas for improvement.

Desirable:



Experience of managing administrative processes; Experience of, or demonstrable interest in, the voluntary sector, grant making, and/or the social issues the Foundation is focused on; Experience of, or interest in content creation.

Training Information




Over the course of 18 months, you will study topics such as understanding an organisation, regulations, policies & processes/procedures, aspects of project management, how to manage performance, planning, organisation & decision-making skills, quality and process improvement, business fundamentals and IT & external environmental factors (these subjects may differ). Upon successful completion of the apprenticeship programme, you will achieve a Level 3 certification.


If you do not hold GCSE Maths & English (or equivalent), these will be delivered alongside the apprenticeship programme.


Our delivery of training is through blended learning. Supported by one of our sector specialist tutors, they will deliver teaching sessions using various methods including face to face teaching, Skype, Facetime, telephone and peer virtual classroom whilst using our interactive multi-sensory teaching resources. Teaching sessions are normally bi-weekly or monthly, depending on the learner's preferred learning style. Additionally, the tutor will provide the support required to ensure the learner enjoys and ultimately successfully achieves their goals and completes their training. We want learners to feel that our team are approachable at any stage of their learning journey.


You will initially take an online assessment that will help us to understand your learning style and needs, then we will tailor your learning experience accordingly. We ensure that you stay on track to complete your programme on time by managing your expectations through our state-of-the-art e-portfolio system. At the end of your programme, your learnt knowledge, skills and behaviours will be assessed by an independent assessor in your end point assessment (EPA).


As part of the apprenticeship, alongside your job role, 20% of your time in work must be dedicated to developing new skills. This can be any time devoted to learning and improving new skills without interruption.
