The Bid Coordinator plays a pivotal role in identifying, managing, and delivering strategic bidding and procurement opportunities that align with the company's commercial goals. This role is responsible for coordinating the full bid lifecycle, from opportunity identification to final submission, while supporting internal departments with procurement compliance, strategic supplier management, and project mobilisation. Additionally, the Bid Coordinator will assist in the project management of successful bids to ensure smooth transition from bid award to delivery.
The role requires strong organisation, excellent written communication, and the ability to coordinate input from multiple teams under tight deadlines.
Key Responsibilities
Maintain up-to-date knowledge of client and government procurement frameworks, including Crown Commercial Services (CCS) and Dynamic Purchasing Systems (DPS).
Build and maintain strong relationships with stakeholders across the business to support effective tendering and procurement practices.
Provide regular updates on pipeline activity, tender outcomes, and areas for process improvement.
Support the mobilisation of awarded projects, ensuring procurement activities are aligned with client expectations and internal delivery plans.
Act as a key liaison for clients on awarded projects, maintaining communication to ensure milestones and deliverables are achieved.
Support project delivery by assisting with subcontractor documentation and payments, contract processes (e.g. NEC4), client payment applications, and project progress tracking.
Coordinate communication with internal teams, clients, and subcontractors to ensure timely updates, accurate reporting, and alignment across bid and delivery phases.
Assist with project closure activities, including coordinating lessons learned sessions and contributing to post-project reporting for internal knowledge sharing.
Lead and coordinate the completion of PQQs and SQQs for the Elevate Sales Team, ensuring well-written, accurate responses and gathering supporting evidence from relevant teams.
Support the Head of Commercial with ad-hoc tasks and provide cover during absences to help maintain consistent operations.
Skills, Knowledge and Expertise
Essential requirements
Proven experience coordinating complex tender and procurement submissions in a fast-paced, deadline-driven environment.
Excellent writing, editing, and proofreading skills, with a keen eye for detail.
Strong organisational and time management skills, with the ability to prioritise competing demands effectively.
Experience working with procurement portals and public sector frameworks (e.g. CCS, local government frameworks).
Ability to collaborate effectively across departments and manage stakeholder expectations under tight deadlines.
Proficient in Microsoft Office (particularly Word and Excel) and Google Workspace applications.
Solid understanding of public sector procurement regulations, compliance requirements, and best practices.
Strong analytical and critical thinking skills, with a proactive and solution-focused approach.
Desired experience
Experience in telecoms, construction, or infrastructure sectors.
Understanding of social value reporting and ESG frameworks.
Familiarity with contracts or commercial risk review.
Essential additional information
This role is predominantly Monday to Friday, home-based, but requires flexibility in working hours and location based on business needs. Some travel may be required to the Manchester office and for client meetings and project oversight.
