The Role
An opportunity has arisen for a Business Administrator with a focus on Billing to join the Innovation team on a 6 month fixed term contract. This role will sit within the IP team and will be responsible for managing the billing process within the team, as well as providing ad-hoc administrative support.
This role will be responsible for liaising with the fee earners in the team and their PAs to ensure the accurate and timely processing of all invoices, in accordance with the firm's billing timetable. This role will work closely with our Accounts Department and often act as the interface between Accounts and IP on all billing-related queries.
Applications are welcomed from individuals with administrative experience, preferably gained within a Law firm or similar role, and who are self-motivated, organised and able to manage a busy workload, taking responsibility for following tasks though to competition.

Duties and Responsibilities

  • Managing the billing process and systems in conjunction with the Accounts team and members of the IP team.
  • Liaising with each of the Partners / Associates to ensure all invoices are produced accurately and on time in accordance with the billing timetable.
  • Managing disbursements and liaising with clients and external providers to ensure timely processing of payments.
  • Liaising with the PAs to ensure invoices are distributed to clients in a timely manner.
  • Ensuring all invoices are coded, distributed and filed correctly.
  • Dealing with internal queries and working in conjunction with the relevant individuals in the firm to ensure issues are dealt with promptly.
  • Working in conjunction with the PAs to manage external client queries and ensuring that these are dealt with professionally and efficiently.
  • Filing of all billing-related documentation in accordance with the firm's internal process.
  • Dealing with any ad-hoc requests received from the IP team or Accounts Department.
  • Liaising directly with the fee earners to understand the individual needs of clients and any impact this may have on the billing process.
  • Ensuring that knowledge of the firm's internal systems and processes that relate to billing is kept up-to-date and applied accordingly.
  • Providing ad-hoc support to the Partners and fee earners on other matter management-related tasks as and when required.
  • Providing ad-hoc support to the PAs/ providing basic cover as and when required including assisting with matter opening processes.
Skills/Experience
  • Experience with Aderant, whilst not essential would be helpful.
  • Five GCSE (including Maths and English) at level C or above.
  • Good mathematical skills (candidates must be comfortable working with numbers).
  • Excellent IT skills including Microsoft Word and Excel.
  • Comfortable working with different systems.
  • Personable and confident, able to build relationships with partners/ key stakeholders and communicate effectively with people at all levels.
  • Excellent attention to detail.
  • Excellent organisational skills.
  • A flexible approach and can do willing attitude, able to be resilient and calm under pressure.
  • Ability to work independently and as part of a team.
  • Pro-active and takes initiative, able to effectively manage own workload.
