Job Description

Job Purpose



As Block Property Manager you will be responsible for managing a designated property portfolio to ensure high levels of owner satisfaction, quality service and agreed objectives are met.

Take full responsibility for property portfolio management, day to day insurance issues, negotiate renewals, progressing claims and liaison with brokers and loss adjusters.

Project manage complex programmes of repair/works.

Manage budgets and liaise with accounts manager.

Contribute to continuous improvement within the Company.

Main Responsibilities / Duties



Manage own property portfolio to ensure high levels of owner satisfaction and agreed objectives are met.

Build the reputation of the business.

Build positive working relationships with owners, lease holders, contractors and other agencies to ensure retention and the good reputation of the business.

Deal with all day to day insurance queries and claims for designated properties, organise quotes, rebroking and liaise with loss adjusters.

Manage service charge budgets, financial forecasts, prepare and present client year end reports.

Regular inspections, arranging programme of repairs or major works as necessary, working with contractors to establish programme of maintenance/repairs, manage contractors to deliver the works programme. Liaise with surveyors to inspect and report back on issues arising

Ensure compliance with statutory consultation procedures.

Manage maintenance contracts.

Dealing with assignments, notices and requests for alterations.

Dealing with arrears, breaches of lease terms and disputes between neighbours.

Co-ordinate EICRs and Fire Risk Assessments and other Health & Safety reviews on assigned property portfolio.

Organise fire precautionary works/EICRs following receipt of fire risk assessment reviews.

Organise parking patrols and permits.

Download Land Registry documents.

Progress Section 20 notices and articles of association.

General administration and communication to support the smooth functioning of the property portfolio.

Prepare agreements/contracts and other relevant written correspondence. Where possible interpret leases when questions/queries arise.

Represent the Company at AGMs/functions. the

Work with contractors to establish programme of maintenance/repairs, manage contractors to deliver works programme.

Booking inspections and carrying out inspections/preparing reports.

Updating of specific areas of the property management database.

Dealing with management enquiries for sales of flats.

Prepare and present annual budgets and reports to owners and lease holders.

Attend occasional meetings as the company's representative.

Negotiate renewals of various contracts e.g. gas.

Participate in front of house service e.g. phone calls, emails, visitors etc.

General administration and communication to support the smooth functioning of the property portfolio.

Preparing agreements/contracts for approval of BPM Team Leader/Manager and other relevant written correspondence.

Ensuring compliance with statutory and contractual obligations.

Prepare new agreements and lease extensions for approval by BPM Team Leader/Manager and associated negotiations with all parties.

Ensure own knowledge and skills are up-to-date and relevant to the requirements of the role.

PERSON SPECIFICATION

Qualifications & Experience



Full clean UK driving licence

GSE in English and Maths or equivalent

Microsoft word and excel intermediate or equivalent experience

Introduction to Residential Property Management Practice (Level2) ARLA Property Mark (desirable)

Professional Membership IRPM (desirable)

Knowledge & Skills



Knowledge of local property market and property management in general

Successful track record working in the Block Management Industry (desirable)

Excellent IT skills, in particular MS Systems.

Problem-solving skills..

Negotiation skills.
