The Role
To manage the administration within the Secretariat & Governance function & provide PA support to the Head of Secretariat & Governance
Principal AccountabilitiesTo manage and delegate Secretariat administration including tasks received from the Head of Secretariat & Governance and the Deputy Company Secretaries
To be responsible for organising and co-ordinating all Lloyd's governance meetings including managing the meeting invitations, attendance list, catering and the use of secure conference call software
To be responsible for organising the yearly overseas Council meeting and managing the expense process for the Non- Executive Directors
To be the main contact for any logistic queries regarding governance meetings whether that be internal or external
To deal with telephone and email administration enquiries including contact with members of the Council, senior management and their PAs
To manage the administration of processing Secretariat invoices, Non-Executive Director fees and expenses
To manage the administration involved in appointments, leavers and re-appointment for Non- Executive directors
To provide PA support to the Head of Secretariat & Governance including diary management, team holiday management, assisting with new starters, managing team meetings and any ad hoc tasks/events/projects
To act pro-actively in identifying and implementing innovative procedures and solutions to ensure the most efficient provision of administrative support is provided to the function
SkillsSecretarial and administrative skills
Strong written and verbal communication skills
Proactive, excellent organisational skills and a high attention to detail
Confident in communicating with senior individuals
Ability to manage a varied and challenging workload
