Key Responsibilities:

Manage incoming calls, emails, and customer enquiries in a professional manner Schedule vehicle bookings and liaise with customers regarding repair updates Handle estimates and enquiries Maintain accurate records and filing systems Order office supplies and support the day-to-day administrative needs of the workshop Coordinate with technicians and suppliers to ensure timely service delivery
Ideal Candidate:

Previous experience in an admin role Previous experience in the automotive industry Strong communication and customer service skills Good attention to detail and the ability to multitask Comfortable using computer systems and software (e.g. Microsoft Office, Garage Management Software) Positive attitude and a team-player mindset

Job Overview


We are seeking a highly organised and detail-oriented Office Administrator to join our team. The ideal candidate will possess strong administrative skills and be proficient in various office software applications. This role is essential in ensuring the smooth operation of our office, providing support to staff and management, and maintaining efficient office processes.

Duties



Manage daily office operations, ensuring a welcoming and efficient environment. Perform data entry tasks accurately and in a timely manner. Handle incoming calls with professionalism, demonstrating excellent phone etiquette. Maintain organised filing systems, both electronic and paper-based. Assist with bookkeeping tasks using Xero Check vehicles in and out - noting vehicle condition with accuracy and ensuring relevant paperwork has been signed by customers Collaborate with team members to ensure effective communication and workflow. Utilise Google Workspace for document management and collaboration.

Skills



Previous office experience is essential for this role. Strong computer skills, including proficiency in Microsoft Office and Google Workspace. Administrative experience with a focus on organisational skills is highly desirable. Excellent phone etiquette to represent the company professionally during communications. Proven clerical experience that demonstrates an ability to manage multiple tasks efficiently.
