New Lanark Trust and the New Lanark Mill Hotel are looking for an organised, enthusiastic, and proactive Bookings & Administration Assistant to support our day-to-day operations.
This role plays a key part in handling enquiries, bookings, and guest communication. It is an administrative role suited to someone who enjoys using their initiative, and takes pride in completing tasks accurately and efficiently.
Key Responsibilities:
Customer Contact & Enquiries
Answer incoming phone calls promptly and professionally
Provide helpful and accurate information to callers and visitors
Take messages and follow up where required
Direct calls to relevant team members only when necessary
Enquiries & Follow-Up
Respond to general enquiries via phone, email, and online channels
Record enquiry details and ensure follow-up actions are completed
Maintain accurate logs and assist with enquiry tracking
Reservations & Bookings
Process hotel room bookings, visitor attraction group visits, conferences, and event reservations
Input bookings into systems such as Rezlynx, Digitickets, and other platforms
Send confirmations, take deposits/final payments, and update booking notes
Ensure relevant teams have the correct booking information
Administration
Provide day-to-day administrative support to departments as required
Assist with documents, schedules, and correspondence
Maintain organised digital files and contribute to a tidy shared working system
Monitor shared Google Sheets and update action lists to ensure tasks are completed
Digital & Communication Tasks
Respond to email enquiries and social messages in a timely, professional manner
Assist with Mailchimp newsletters when required
Support the creation of simple posters or graphics in Canva (advantageous but not essential)
About You
We are looking for someone who is:
Friendly, polite, and confident in communication
Highly organised with strong attention to detail
A self-starter who can carry out tasks without constant direction
Comfortable working independently and managing their time each day
Keen to streamline tasks and improve processes where possible
Happy to support the wider team when needed
Technically minded
Experience in office administration or hospitality bookings is essential.
