Job Description

We are seeking a detail-oriented and experienced

Online Bookkeeper

to join our team. This role goes beyond traditional bookkeeping to include responsibilities in

inventory tracking, logistics coordination

, and

warehouse system management

. The ideal candidate will be proficient in online accounting platforms and advanced in Excel, with a proactive approach to maintaining accurate financial records, analyzing data, and improving operational efficiency.

Key Responsibilities: Financial & Bookkeeping Duties



Accurately record financial transactions (invoices, expenses, receipts) in online accounting systems (e.g., QuickBooks Online, Xero). Reconcile accounts by reviewing invoices, remittances, and payments. Analyze billing data and resolve discrepancies with vendors and clients. Generate monthly, quarterly, and annual financial reports with meaningful insights and trends.

Excel & Data Analysis



Use advanced Excel functions (PivotTables, VLOOKUP, formulas) for financial forecasting, budget tracking, and variance analysis. Maintain and update financial models and custom spreadsheets for internal reporting.

Compliance & Documentation



Ensure all records meet accounting standards and internal policies. Maintain organized, audit-ready documentation for financial and operational records.

Inventory & Logistics Support



Update and monitor

stock inventory levels

in coordination with warehouse and procurement teams. Book incoming

logistics deliveries

and verify against purchase orders. Process

shipping and inventory labels

using warehouse management software (WMS). Support fulfillment and operations teams with accurate inventory and stock flow tracking.

Platform & Process Management



Stay current with features of accounting and WMS platforms; recommend automation and workflow improvements. Identify process inefficiencies and implement solutions to improve accuracy and productivity.

Team Collaboration



Collaborate with finance, procurement, warehouse, and management teams to support financial decision-making and streamline operations.

Requirements:



Experience:

Proven experience as an Online Bookkeeper or similar role.

Technical Skills:

Advanced Excel skills (e.g., PivotTables, VLOOKUP, data visualization). Proficiency with online accounting tools (e.g., QuickBooks Online, Xero). Experience with warehouse or inventory management software is a strong plus.

Detail-Oriented:

High accuracy in financial and inventory data entry.

Communication:

Strong written and verbal communication for working with vendors, team members, and management.

Analytical Thinking:

Ability to identify inconsistencies, analyze trends, and support decision-making with data.
Job Type: Part-time

Pay: 10.00-12.21 per hour

Expected hours: 30 per week

Monday to Friday
