Role Overview



In this role, you will be responsible for delivering accurate, timely bookkeeping and payroll services to a range of hospitality sector clients. You'll be working closely with the principal accountant and liaising directly with business owners and managers. This role requires someone confident in managing high-volume transactional data and complex payrolls, including split shifts, tips, and zero-hour contracts.

Key Responsibilities



Bookkeeping Duties (Hospitality-Focused):



Maintain accurate day-to-day financial records for hospitality clients using

Xero

. Manage sales and supplier invoices, reconciling with POS systems and third-party platforms (e.g., Uber Eats, Deliveroo, Just Eat, ResDiary). Perform regular bank and petty cash reconciliations. Monitor and manage high volumes of transactions efficiently and accurately. Prepare and submit VAT returns in line with hospitality-specific schemes (e.g., TOMS if applicable). Reconcile merchant services and payment platforms (e.g., SumUp, Square, Stripe). Support in the production of monthly management accounts and variance analysis (e.g., food cost % vs revenue).

Payroll Duties (Hospitality-Focused):



Process weekly and monthly payrolls in

BrightPay

, handling variable hours, split shifts, and zero-hour contracts. Administer tronc schemes and process tips appropriately. Handle pensions auto-enrolment and submissions via Nest. Submit RTI to HMRC and ensure full compliance with PAYE, NI, and statutory payments. Issue payslips and payroll summaries to clients and assist with payroll journal entries in Xero. Support clients with staff onboarding/offboarding and employee queries.

Client Support & Additional Tasks:



Liaise with hospitality business owners, general managers, and HR contacts to gather payroll and financial data. Provide bookkeeping and payroll guidance tailored to hospitality operational needs. Help onboard new clients onto Xero and BrightPay, including chart of accounts setup and template design. Monitor key deadlines to ensure timely filing and reporting for VAT and payroll.

Key Skills & Qualifications



Minimum 2 years' experience in a bookkeeping/payroll role, ideally within an accountancy practice or directly for hospitality businesses. Strong proficiency in

Xero

and

BrightPay

(required). Working knowledge of hospitality operations and accounting best practices. Experience managing complex payroll structures and variable hours. Excellent attention to detail and organisational skills. Ability to communicate clearly with both finance and non-finance professionals. AAT qualified or working towards (preferred but not essential).
