Taunton Brewhouse is seeking a highly organized and proactive Building and Services Co-Ordinator to work alongside the Technical and Building Manager to ensure the safe, efficient, and smooth running of our theatre.
The Building and Services Coordinator is responsible for maintaining the built environment of the theatre and its IT services. The post-holder will provide building expertise and liaise with contractors commissioned to carry out specific projects and work with volunteers and alongside a team of technicians who are line managed by the Technical and Building Manager. The post-holder will need to plan and organise the efficient, safe, and economical use of people and resources, within current legislation
Situated on the banks of the River Tone in the county town of Somerset, Taunton Brewhouse is a much-loved venue that hosts the best of touring performance from across the country, produces an annual in-house winter production, offers a range of participatory activities for all ages, and supports emerging talent through its artist development studio programme. We welcome in the region of 80,000 visitors per year to our main auditorium (352 seats), studio theatre (60 seats), creative hub, bar and cafe. Taunton Brewhouse, for the most part, is a busy receiving house with multiple one-night events per week.
The successful candidate will be a collaborative and solutions-focused individual with experience in buildings, services and facilities maintenance, who thrives in a busy environment and is committed to supporting excellent creative work. The role has development potential to grow in the future. Working hours may include evenings and weekends at times.
Taunton Brewhouse has been operated by Taunton Theatre Association Ltd (TTA) since 2014. TTA are a registered charity. TTA Trading Ltd is the subsidiary company of TTA whose sole purpose is to generate income via trading activities such as bar, cafe and venue hire to donate back to the charity.
JOB DESCRIPTION: BUILDING AND SERVICES CO-ORDINATOR
REPORTS TO: TECHNICAL AND BUILDING MANAGER
FULL TIME - 35 HOURS PER WEEK INCLUDING SOME WEEKENDS AND EVENINGS
SALARY 27,000 - 28,000 Dependent on experience
SPECIFIC JOB RESPONSIBILITIES
1. Overarching Responsibilities
Day-to-day responsibility for premises and staff security and health and safety.
Fully conversant with and help to shape relevant policies and procedures and ensure that these procedures are communicated effectively to users of the building and always adhered to.
Work with the Technical and Building Manager and, as appropriate, with the senior management team to adopt and embed sustainable and environmentally friendly working practices.
Contribute to the development of KPI's and targets for areas of responsibility and monitor performance against these, to continually improve the facility and quality of TTA's service.
2. People
Liaise with and monitor the performance of building project contractors. Where volunteers are involved in internal projects, ensure they are appropriately qualified, trained an supervised.
Ensure maintenance work carried out by volunteers and staff complies with health and safety policies and legislation.
Deliver training for volunteers in the use of equipment and safe practice.
Ensure that and staff or volunteers using equipment are trained in its use and follow safe working practices.
3. Compliance
Responsible for ensuring contractors, staff, equipment and premises comply with health the safety regulations, current legislation, licensing requirements and industry standards.
Ensure building and health and safety risk assessments are completed, updated, electronically filed, adhered to, and made available to relevant parties.
Ensure that the building and its contents are compliant with fire regulations. Responsible for liaising with the alarm and security companies and ensuring equipment is maintained, tested and records kept electronically including annual PAT testing, regular fire equipment and weekly alarms tests
Responsible for ensuring the theatre has enough staff trained as fire wardens on duty at any given time, evacuation procedures are clear and transparent, and evacuations practiced annually and biannual training session.
Report any health and safety issues immediately to the Executive Director or, their absence to the Chair. Assist in the immediate remedial response to correct inadequacies or failings.
3. Building
Liaises with ED, Technical Manager, Somerset Council and Taunton Town Council on building matters and emergencies as they arise to ensure issues are promptly dealt with and that necessary approvals are obtained, and appropriate records kept recording actions and decisions. Sets up record systems for this purpose.
Supervise building work ensuring the environmental disposal of building waste.
Set up systems for visiting workers to ensure that contractors working on site are clearly identified and recorded on entry and leaving.
Maintain and repair any equipment or organise such equipment to be repaired
Organise removal of equipment and furniture to meet identified needs - for clients, staff, and volunteers.
4. Key Holding
Deputy main key-holder with responsibility for recording and issuing internal key allocation to staff as appropriate.
5. Major Projects
Assume the responsibility of project coordinator on major building projects working with the Senior Management Team, Executive Director and external contractors
Work alongside the Executive Director, Technical and Building Manager and fundraising team to ensure that data and quotes are available and accurate for major projects
5. IT
Responsible for ordering and coordinating the maintenance and repair of all IT equipment and services
Administer IT users access to TTA's SharePoint/intranet, ensuring user information and permissions are up to date and secure, providing support as required
Attend meetings with colleagues, service providers and visiting companies as appropriate.
6. Finance
Responsible for delivering the theatre's buildings, services, IT and safety budgets
Oversee the expenditure of the budgets to cover maintenance work, equipment replacement and agreed new purchases (within budget) always providing multiple quotes and working economically.
Keep records of all financial transactions and financial reporting as per the organisation's financial management requirements.
7. Other
Devise a 'Green Operations Policy' to ensure the organisation lessens its impact on the environment.
To participate actively in the life of the arts centre and contribute to the development of its educational and community engagement programmes.
The post-holder will be required to carry out administrative work associated with tasks at hand.
Undertake other duties that may reasonably be required of them.

PERSONAL SPECIFICATION
ESSENTIAL
Experience in facilities management, building maintenance and IT management
Strong understanding of health and safety regulations including LOLER, PUWER and working at height
Experience of managing budgets, ensuring cost-effective resource allocation
DESIREABLE
Qualification in electrical or mechanical systems (eg PAT testing certificate)
First Aid at work qualification
Health and Safety training or qualification such as IOSH
Experience of working with volunteers
Experience with sustainable building practices or energy efficient systems
