General Responsibilities
Support Daily Operations
Provide consistent administrative support to the Plant Manager, ensuring daily workflows are executed smoothly. This includes preparing reports, resolving queries, and maintaining operational readiness.
Liaise with Internal & External Stakeholders
Act as a key contact point for SPA, transport offices, and customers to resolve anomalies, clarify processes, and maintain strong working relationships.
Document Management
Issue and monitor order numbers, PODs, collection notes, damage letters, and other essential paperwork, ensuring records meet compliance and audit standards.
Cost Recovery Tracking
Follow up on repair estimates, damage inspections, and asset recovery processes to maximise cost recovery and minimise delays.
Hire Process Accuracy
Ensure all hire processes are accurately documented, tracked, and escalated when discrepancies arise. Maintain consistency and integrity in records.
Communication with Plant Manager
Provide timely updates to the Plant Manager regarding critical actions, administrative bottlenecks, and any issues requiring escalation or intervention.
Return & Inspection Coordination
Support coordination of product inspections, off-hire returns and ensure system updates reflect asset status and condition in line with company policy.
Compliance & Integrity Monitoring
Ensure all records and hire activities meet internal compliance standards and audit requirements. Flag any deviations and proactively correct errors.
Proactive Problem Solving
Identify process inefficiencies and propose solutions to enhance operational workflow and support smoother business outcomes
