We are seeking a proactive and highly organised
Business Administrator / PA to the Director
to support the smooth running of our operations. This role involves administrative support, financial coordination, and compliance management, as well as contributing to the delivery of impactful projects.
Responsibilities
Provide PA support to the Director, including diary management, correspondence, and meeting preparation.
Draft and manage contracts with artists, partners, and suppliers.
Coordinate and prepare Arts Council England NPO reporting and other funder reports.
Oversee internal financial processes, maintaining accurate records and preparing reports for the bookkeeper.
Ensure compliance with GDPR, Companies House, and Charity Commission requirements.
Manage and maintain the organisation's CRM system and project management tools.
Support the Director with project delivery across exhibitions, events, and creative programmes.
Draft and prepare board papers, funding applications, and evaluation documents.
Act as a key communication link with stakeholders, funders, and creative partners.
Qualifications
Essential:
Proven administrative experience, ideally within the arts, heritage, or creative industries.
Strong organisational and project management skills.
Experience managing finances and compliance processes.
Confident with CRM systems and project management tools.
Excellent written and verbal communication skills.
Knowledge of GDPR and regulatory requirements for charities/companies.
A proactive, solutions-focused approach with the ability to work independently.
Desirable:
Experience as a PA or Executive Assistant.
Familiarity with Arts Council England reporting.
Understanding of charity governance.
Passion for arts, heritage, and cultural change.
Job Types: Part-time, Permanent
Pay: 15,000.00-18,000.00 per year
Expected hours: 18 per week
