Overview of Job Role



We are seeking a fantastic Business Administrator to join us in the exciting journey of our newly opened Aston Manor Care Home. This pivotal role requires an individual who can establish processes and organise the administrative function. The ideal candidate will possess a blend of people skills and strong analytical mindset to ensure the smooth business administrative operations of the Care Home.

Hours of Work:

40 hours per week

( 5 days per week 8.30am - 5pm)

Key Duties and Responsibilities



Lead and support all aspects of finance, HR and general administrative duties at Aston Manor. To liaise with and provide all information in a timely manner that is required by the Head Office Finance & HR team. Liaise with all the funding sources to ensure that resident fee information is accurately set up and updated on a regular basis with any notified changes. Manage all aspects of finances at Aston Manor including petty cash, resident personal monies and banking operations. Manage all aspects of HR administration for the home including leading on recruitment, holding interviews, supporting pre-employment checks, issuing employment contracts, induction and training paperwork in close liaison with the Head Office HR team. To assist the Home Manager with the recruitment of staff using the Company's Candidate Management System, ensuring that the process is followed accurately and takes into account relevant legislative requirements. Ensure all staff are issued with relevant trainings, track compliance and upload evidence. Support Line Managers across the employee life cycle including appraisals, performance management, absence management. Ensure the Company HR policies and Employee Handbook requirements are known to staff members and are implemented in the Care Home. To accurately input and update information on personnel record files. Undertake purchase ledger responsibilities including ordering, reconciliation of delivery notes and invoices. Liaise with Head Office Administrator to enable contractor and suppliers visits to the Care Home and maintain a robust record of service checks to comply with Health & Safety regulations. Maintain an effective and efficient filing system for all home-related paperwork ensuring there is a consistent audit trail Answer direct phone calls in a professional and courteous manner. Greet visitors and provide them with necessary information or assistance. Prepare and distribute correspondence, memos, reports, and other documents. Ensure payroll information is completed by allocated time. Be available to take minutes during meetings in the home, write up and share with Manager. Ensure personnel folders are completed to a high standard and be involved in the auditing process. Monitor the staff anomalies on the homes clocking in system, reporting to the Manager. Ensure 'back to work' forms are completed and added to files along with HR notes and welfare meetings if required. Be engaged with the activities in the home and take an active part in assisting in resident wellbeing where appropriate.

About You



Previous experience in HR and/or Finance administration is essential to be considered. Have experience in a similar role, preferably within the care sector. Excellent verbal and written communication skills. High proficiency in the use of MS Office suite and other relevant IT systems. Ability to multitask, prioritise and take ownership of this role with confidence and discretion. Work flexibly and collaboratively with the team. Clear, methodical working approach with strong numerical ability. Qualification in HR and/or Finance is desirable but not essential.
