The Role:

To provide all Reception and General Office Duties

This is a varied 'front-of-house 'role supporting our small team and as such we have high standards in terms of customer care and appearance. Good IT skills, numeracy and literacy are required. A mature confident attitude with problem-solving skills coupled with a bright disposition supporting managers and colleagues with the company activities. Health & Safety responsibilities also form part of the role.

The Person:

You will be a 'self-starter', punctual with a positive, 'can-do' outlook on life. It is the first line' face' of Forth Engineering and sets a professional tone for the business.

Qualifications:

Must have Microsoft Office & Preferably a min. of NVQ in Business Admin/Customer Service

Key Deliverables:

General Duties:

Managing all administrative functions in line with the company's policies and procedures Maintaining relevant filing systems Carry out Reception duties- meeting & greeting guests/customers Answering phone calls Carrying out formal Inductions for visitors and new staff Management of PPE including stock audit, signing in and out and completing register Management of First Aid boxes Management of Stationery Archiving documents physically and electronically Maintaining Inspection audits for HSQ Management Scheduling appointments and travel arrangements including booking conference tickets, hotels etc., Invoicing and producing quotations Following all procedures in place for completing delivery notes including the Simpro software (ERP) Upkeep of Certificates of Conformity in line with company procedures Ordering uniform and material items liaising with purchasing Undertaking research and producing monthly KPI reports for management Liaison with managers calendars to set up meetings Occasional networking opportunities outside the workplace Liaison with IT function to set up new passwords/logins for new staff Liaising with works production on progress of projects Organising weekly operational charts of employee locations Scanning/photocopying as required Ensuring photocopier ink supplies are always available and in stock Maintaining and registering site tidiness and basic good housekeeping of the kitchen and offices. Operate within the scope of Forth's policies and the law Undertake any other duties as considered necessary to fulfil the role in liaison with: The Works , Business Liaison & Operational Managers.
Person Specification:

Criteria Skills:

Excellent Administration skills- Good working knowledge of Word, Excel, Teams, Presentations and AI agents such as Microsoft 365 CoPilot, Gemini etc., Ability to manage systems that would underpin safe and efficient business activities Excellent organisational skills- the ability to work in a planned and systematic manner is essential Excellent interpersonal skills- the ability to communicate clear instructions and talk to a wide variety of individuals and groups is essential.
Other Factors:

Previous Business Administration practices/roles would be an advantage and a willingness to be flexible to help FORTH meet changing demands and support its commitment to community values would be an advantage.

Job Type: Full-time

Pay: From 13.50 per hour

Expected hours: 38 per week
