About the Role:
We are looking for a highly organised and detail-focused Business Administrator to support the smooth operation of our software business that supports the rail industry. This role is central to ensuring ongoing compliance with industry standards, maintaining key accreditations such as ISO and RISQS, and providing administrative support to senior leadership. You'll work closely with the Managing Director and other stakeholders to coordinate business-critical functions that underpin our operational performance and credibility within the rail sector.
Key Responsibilities:
ISO Standards & Compliance: Maintain and manage documentation, audits, and renewal processes related to the company's ISO27001 certifications, ensuring full compliance with quality, safety, and environmental standards required in the rail industry.
RISQS Membership Management: Take ownership of the company's RISQS (Railway Industry Supplier Qualification Scheme) profile, ensuring ongoing compliance, timely submissions, and successful audit outcomes to maintain approved supplier status.
Crown Commercial Service (CCS) Coordination: Oversee our engagement with Crown Commercial Services, including framework registration, documentation, and adherence to procurement requirements for public sector rail projects.
Executive Support & Diary Management: Provide high-level administrative support to the Managing Director, including diary management, meeting coordination, preparation of board documents, and follow-up actions.
Company Insurance Coordination: Manage and renew all business-related insurance policies, ensuring appropriate coverage for operational activities within the rail sector, including public liability, professional indemnity, and fleet insurance if applicable.
Travel & Conference Planning: Coordinate all travel arrangements and accommodation for management and project teams, particularly for rail conferences, site visits, and industry events across the UK and beyond.
Administrative & Operational Support: Support general business operations, including document control, reporting, procurement assistance, and maintaining relationships with external certification bodies and clients.
Essential Skills & Experience:
Experience in business administration.
Proven ability to support senior executives with diary and travel management.
High level of attention to detail, particularly in managing compliance records and certifications.
Excellent verbal and written communication skills.
Proficient in Microsoft Office (Word, Excel, Outlook, Teams) and comfortable using digital platforms for scheduling and compliance management.
Desirable Qualifications & Experience:
Qualification in Business Administration, Management, or related field.
An understanding of rail-specific compliance frameworks such as RISQS and ISO certifications.
Familiarity with the rail industry.
Prior experience working with public sector procurement frameworks (e.g., CCS).
