The successful candidate will have a good telephone manner, patient and friendly attitude towards customers and colleagues, be punctual and well organised, able to work to deadlines, able to use common sense, learn quickly and be willing to multi-task.
Overall Purpose of Job
This position is key to the successful running of the business as you will be the first point of contact with the customer, work closely with the owner to enable you to respond to all customer enquiries, and see the enquiry through to booking an engineer to undertake the work required
Main Responsibilities
Answer all incoming telephone calls from customers and suppliers (average 15 calls/day)
Maintain the customer calendar system, by allocating engineers to customer bookings
Obtain prices from suppliers, order parts/materials for scheduled work and ensure they are delivered prior to work taking place
Use the Timesheet system (completed by Engineers) to ensure any follow-up visits to customers are arranged
Contact customers by phone and email to remind them of their boiler services. (All services should be completed by November every year, with none booked in December and January)
Formulate a social media strategy aligned to the sales objectives. Update Facebook page weekly to optimise interest and make any adjustments to website as necessary
Respond to any Checkatrade or Website enquiries
Some book-keeping work such as processing of purchase and sales invoices
Produce a monthly forecast which tracks quotes and provide details of how targets will be met. Follow up customer quotes by phone a minimum of 48 hours after it is sent and periodically follow this up with them, to turn into a booking
When quotes accepted, book this in providing the time allocated in the quote and taking into consideration other work already booked
Maintain filing of service paperwork
Support with larger projects using the software available to ensure projects are on time and within budget
Manage any customer complaints at the first point of contact and look to resolve these, escalating to owner where necessary
Working Conditions
This is an office-based role, working 8.00 am - 4.30 pm, Monday to Friday (30 min lunch)
Permanent position, salary dependant on qualifications and experience
