Job Description



Newcastle International School (NIS) is offering a part-time Business Administrator position. The position is ideally suited for a dynamic, hard-working candidate who is looking to develop an array of business administration and wider workplace skills, operating alongside experienced teaching and management staff at our school premise in the heart of Newcastle upon Tyne. As a British Council and BAC-accredited school, we pride ourselves on our ability to provide bespoke, high quality English language classes to students of all ages and from all over the world.

What You'll Be Doing:



Providing front-of-house, administrative and homestay coordination support to the school. This role is ideal for someone looking to develop or further their career in business/office administration, combining hands-on experience with structured learning across three core areas of the school's operations.

Reception



Act as the first point of contact for students, visitors, and callers. Ensure all visitors sign in using the QR system. Manage incoming phone calls, transferring or taking messages. Support students with initial queries (e.g., placement tests, directions). Process basic payments and issue receipts. Help students with NHS/GP registration or general city orientation. Helping organise and assist with social programme activities.

Homestay Administration

Maintain and update the Homestay Families spreadsheets (e.g., availability, documents, payments). Contact hosts for updated gas certificates, DBS checks, and references. Support with scheduling host visits and updating inspection logs. File contracts, fire risk assessments, and inspection photos. Handle sensitive communication between hosts, students, and staff diplomatically. Ensure host compliance with British Council accreditation standards.

Office Administration / Registration Support

Assist with student registration and enrolment processes. Input student data into the school database and help prepare induction packs. Liaise with teaching and admin staff for class placement information. Update course attendance and visa-related documentation as required. Support the smooth flow of student records and filing.

Working Hours:



Monday - Thursday: 9am - 2pm

Further working hours may be required, depending on the time of year.

Essential Attributes



Excellent oral and written communication skills. Willingness to learn and develop in a fast-paced, student-facing environment. Professional and friendly manner, particularly when dealing with international students. Strong attention to detail and good organisational skills. Basic IT literacy - Excel, Word, Google Sheets/Forms. Ability to handle confidential information responsibly. Ability to work flexibly and multitask. GCSE English and Maths (Grade C/4) or Level 2 Functional Skills in English and Maths. Strategic thinking and ability to take the initiative. Experience in a customer service or office setting. Interest in working with young people and international visitors.

Desirable

Attributes



Level 2 or Level 3 Diploma in Business Administration. Familiarity with safeguarding and data protection principles (training will be provided). Experience in an international or multicultural school environment. Project management experience. Fluency in a second language (particularly Arabic).
Job Types: Part-time, Temp to perm

Pay: 10.00-12.21 per hour

Expected hours: 20 per week
